We are looking for an Administrative Assistant to perform various administrative and clerical tasks to cover a maternity leave. The ideal candidate will be an independent thinker. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company’s general administrative activities.
As an administrative assistant, you play a vital role in the enrolment and admissions of students to each childcare center. You handle every stage of enrolment management from being the point of contact for prospective families to orientation and start of new students.
Duties and responsibilities:
Answer telephones and respond to email inquiries from parents and families.
Create, compile and export files containing all information for each new student.
Help to plan center events.
Assist with Brightwheel - our communication platform.
Process end-of-month reports and distribute new month's paperwork.
Process and file student files.
Answer potential families’ questions about facility and amenities.
Will require traveling to different centers in the Greater Victoria area
Qualifications:
Proficient computer skills, Google Workplace, Adobe.
Professional phone etiquette.
Ability to remain calm under pressure.
Excellent problem solving and prioritizing skills.
Reliable and punctual.
Ability to commute/relocate:
Victoria, BC: reliably commute or plan to relocate before starting work (preferred)
Experience:
Administrative: 1 year (preferred)
