We’re looking for dedicated Scheduling Coordinators to join our amazing team.

The Scheduling Coordinator plays a crucial role in healthcare settings by ensuring that healthcare providers are scheduled effectively to meet the needs of clients. This involves a variety of tasks and responsibilities: Understanding Staffing Requirements, Maintaining Provider Availability Information, Matching Providers to Shifts, Communicating Schedules, Handling Schedule Changes and Reporting.

This role requires strong organizational skills, excellent communication abilities, and a keen attention to detail. The Scheduling Coordinator must be able to balance the needs of clients with the availability of healthcare providers to ensure that all shifts are covered.

Location

Carecor Toronto Office, on-site

Hybrid remote plan after 4 weeks of training in Toronto, with in-office 4 days a week

Hours of Work

Full Time Permanent: 37.5 hours per week

Scheduling Office business hours are 5:00am – 12:00am

Must be able to work weekends, statutory holidays, evenings & occasionally days within these business hours

Duties And Responsibilities

  • Scheduling healthcare providers, employees and Independent Contractors by matching the staffing requirements of Carecor’s clients
  • Contact healthcare providers, employees and Independent Contractors to determine availability
  • Match available healthcare providers, employees and Independent Contractors to facility client requests
  • Provide excellent customer service – first contact by phone, in person and electronically for Clients
  • Manages requests in a timely manner, based on priority, Up-sells and offers service to Clients
  • Accurately Document and update scheduling software
  • Record and document all requests, schedules and communications into scheduling software program and on manual systems as required
  • Assist with payroll and invoicing issue investigations
  • Promote Carecor’s staffing services to facilities and health care providers
  • Participate in special projects and meetings as assigned by the Supervisor
  • Staffing Office meets target goals related to staffing productivity indicators; (inbound/outbound calls fill rates, offering staff out
  • Other duties as required

Qualifications

  • Experience using scheduling software programs
  • Familiarity with health care settings and the staffing industry
  • Must be proficient in Word, Outlook, Excel, etc.
  • Proven attention to detail within a fast-paced environment (accurate and fast typing is essential)
  • Excellent customer service skills and a personable, outgoing, professional manner
  • Demonstrated, multi-tasking, taking initiative and problem-solving skills
  • Excellent written and verbal communication skills
  • Excellent judgment and discretion
  • Works well under pressure
  • Highly organized and efficient time management skills
  • Must be able to pass job related test
  • Excellent attendance record
