About the Job: The Branch Administrator will be a key part in the hauling and rigging team by providing Administrative support to the Branch.

Description
- Assisting Maintenance and Safety with all IFS admin responsibilities
- Creating/setting up new customers in IFS
- Contract review and management as it relates to the invoicing & reporting components to ensure customer requirements are being met.
- Submitting invoices to customers by their preferred method, ensuring all invoices as approved both internally and externally (as required by customer contracts) prior to submission.
- Posting equipment costs and shift factors to jobs.
- Develop and participate in staff training programs.
- Ensuring that all AR is complete for month end close process.
- Ensuring 3rd party AP invoices are billed to the client.
- Maintain wire lifting/permit tracking and ensure all costs rebilled to customer weekly/monthly.
- Problem solving accounts receivable contract issues as it relates to billing both internally & externally.
- Tracking and scheduling courses/training for field staff (i.e. H2S, First Aid, Arriel Work Platform, etc.)
- Payroll reconciliation.
- Providing Branch Administration Support.
- Willingness to work flexible hours to accomplish all major responsibilities and meet month end timelines.
- Willingness to accept assignments on an as needed basis, including any special projects which may arise, to promote an atmosphere of teamwork.
- A self-starter who needs little direction and is highly self-motivated.
- 3-5 years’ experience in a similar role.
- Established management and leadership skills with the ability to mentor and develop operational staff.
- Highly organized with the ability to manage multiple priorities and deliver assignments on time.
- Ability to communicate and interact effectively with all levels of staff and customers, both verbally and in writing.
- High attention to detail and demonstrates good judgment.
- Strong computer skills.
- Effective time management skills with the flexibility to work the hours required to get the job done during peak times.
