Administrative Assistant

We are hiring one (1) full-time, permanent Administrative Assistant in Energy Services working out of Edmonton, AB.
As the Administrative Assistant for Energy Services (ES), you’ll be the go-to support for the Director and senior leaders—keeping communications flowing, travel organized, reports accurate, and finances tracked. You’ll also make sure everyone, whether remote or in-office, has the supplies and tools they need to thrive.

What you’d be responsible for
- Preparing and managing documents, correspondence, presentations, and reports.
- Providing comprehensive administrative support by managing correspondence, supplies, meetings, travel and accommodation logistics, leadership calendar scheduling, boardroom and catering bookings, vacation tracking, internal event coordination, and accurate documentation of meeting minutes.
- Responding to telephone and email inquiries from external and internal customers monitoring shared mailboxes.
- Maintaining SharePoint content and distribution lists.
- Managing reporting schedules and supporting research, analysis, and report preparation, including drafting preliminary reports for review.
- Drafting and editing ES communications and sending to leadership for review.
- Coordinating administrative tasks and coverage across ES; assisting with the regulatory application process as required.
- Managing invoices, expenses, purchase orders, and monthly financial/telecom reports; maintaining taxable benefits and overseeing year-end and expense reporting.
- Managing inventory, working cross-functionally to ensure costs remain on track and in budget.
- Organizing and managing large-scale staff events and programs.
- Coordinating staff moves within ES, maintaining transfer reports, and handling confidential employee data.
- Supporting the HSE Committee and HSE initiatives
- Partner with project leads and S3s on projects and assist with recruitment efforts.
- High school diploma, GED or equivalent level of secondary education.
- A Diploma or Certificate in Office Administration or related area is desired.
- Completion of a course or certification in computer studies, website design or administration, or related field would be considered an asset.
- 5+ years of experience in a progressively responsible administrative position.
- 2+ years of business writing experience.
- Demonstrated experience with software and web applications, including web design and/ or SharePoint.
- Experience with Microsoft Office Suite specifically: Excel, Word, PowerPoint.
- Experience handling confidential information, managing accounts payable/receivable, and using financial software applications.
- Excellent verbal and written communication skills, with strong grammar, spelling, and proofreading abilities.
- Proven strengths in organization, planning, attendance, performance, and presentation best practices.

Wage: Starting at $33.21 per hour (Final Wage and Step will be determined at the time of selection and are subject to change based on ratification of the new collective agreement).
