Position Summary
Ainsworth is currently looking for a Receptionist to join our Surrey, BC office. This role will perform general office administrative tasks and a diverse range of assignments received from Service, Finance and other departments, directed through the Operations Team & Managers.
Key Responsibilities
- Apply exceptional interpersonal skills by professionally and warmly greeting each visitor as they come through Ainsworth’s doors.
- Apply superior telephone and email etiquette while receiving and directing incoming calls, messages, and emails, performing this with a high degree of accuracy and efficiency.
- Liaise with answering service to ensure all messages are received and forwarded in a timely and accurate manner.
- Assist the Service department with opening service orders, PO matching and vendor reconciliations.
- Matching of P-card costs in JDE on a daily basis.
- Proficiently process daily, weekly and monthly administrative procedures related to general office duties, including processing of interoffice and external mail, as per company policy and guidelines.
- Prepare reports for various departments within the company as required.
- Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations
- Adhere to the Company’s Quality System operating procedures
- Adhere to attendance policy and ensure consistent coverage is achieved at the front reception desk
- Perform other duties as assigned by Management
- High School graduate, Post-Secondary education preferred.
- Basic knowledge of accounting systems would be an asset.
- Experience working with Great Plains software would be an asset.
- Proficient computer efficiency (JDE, Excel, Metrix, MS Office, Outlook, Internet, Adobe Acrobat).
- Solid and effective verbal and written communication skills.
- Ability to be resourceful and proactive in dealing with issues that may arise.
- Ability to organize, multitask, prioritize and work under pressure.
- Proficient with multi-line phone systems and has a proven capacity to learn new programs and processes with extreme efficiency.
- Strong work ethic and positive team attitude.
- Professional, friendly, exceptional interpersonal skills
- Able to effectively communicate both verbally and in writing.
- Sound analytical thinking, planning and prioritization skills.
- Effective attention to detail and a high degree of accuracy.
