The Events and Content Coordinator role is the point person for all Marketing Events, coordination and execution. The role also supports and assists with Marketing administration efforts managed by the team. The role is also responsible for innovative and effective Social Media Content Capture and Creation in support of RME’s marketing initiatives/opportunities.

 

Job Duties and Responsibilities Include:

 

Events Management:

  • Lead or assist with organizing RME events within the operating groups or RME ‘complex-wide’ events.
  • Act as primary liaison with event venues, suppliers, and vendors. Ensure all event requirements are communicated and executed as necessary.
  • Develop and prepare RFPs, research & source venues, review, edit and/or finalize correspondence to RFPs and corporate proposals.
  • Collaborate with our Senior Management on Communications, ensure digital and print promotional materials are submitted, proofed, and produced according to set schedule i.e., signage, handouts, e-blasts, multimedia, etc.
  • Arrange hotel accommodations, including booking hotel rooms blocks, contacting travelers about room requirements and preparing and submitting rooming list.
  • Communicate with key event participants about any issues that may arise during the planning process.
  • Coordinate and provide onsite event support for décor, RME displays, RME signage, rentals, special needs requirements, event security, entertainment, and all miscellaneous items as required for events.
  • Develop event critical path to outline and allocate all activities required to ensure successful execution of events to budget.
  • Create and maintain vendor database information and pricing matrix information
  • Identify opportunities to improve the effectiveness and efficiency of work processes and procedures.

 

Marketing Administration:

  • Receiving physical invoice, creating purchase order if approved, processing for payment, printing off all supporting documents, submitting to accounting for payment, working closely with the accounting department.
  • Creating purchase orders for every approved expenditure in Marketing, for tracking and payment purposes.
  • Receiving physical invoice along with tear-sheet (call or hunt down tear-sheet at times), logging on to Dealer Portal, Paranet, complete online forms, generate claim #, attach tear-sheet to invoice, submit to ACB for claim processing, Keep record of claim number and invoice for future references, knowing the coop programs for each of our OEMS.
  • Receiving and sending mail, opening all Marketing related mail items for distribution to other team members or submission for payment/coop.
  • Packaging and sending away any items needed to be sent by the team to support events, tradeshows, promo Etc, 
  • Checking Marketing direct email on a daily basis and answering all incoming messages appropriately and on a timely matter.
  • Booking and organizing all meetings, planning the quarterly RGM meetings between branches and marketing.
  • Keeping program open all day for requests for payment, searching for payment history, arranging some event details, coop submissions and misc tasks.
  • Projects to help coordinators, creating invites, helping to keep office organized and tidy, ordering supplies for office, some event and tradeshow organizing, one off projects when needed.


Content Capture:

  • Assist with Social Media content capture at RME hosted events (e.g. photos & video) for the Digital Marketing and Content Specialist to share on relevant RME social channels.


Job Requirements and Qualifications Include:

 

  • 3+ years of experience with corporate event management or event coordination.
  • A post-secondary degree/diploma in marketing, communications, business or related work experience in Marketing.
  • Intermediate to advanced skills in Outlook, Excel, Word, and SharePoint.
  • Exceptional customer service and oral/written communication skills.
  • Proficient organization, attention to detail, and time management skills.
  • Excellent collaboration skills within a team environment.
  • Ability to understand and execute project requirements.
  • Understanding of Event ticketing software systems.
  • Experience working with online media/creation of online media an asset.
  • Design skills within Adobe Creative Suite are an asset.
  • Knowledge/experience with digital content capture and creation is an asset.
