What We Expect

Role Responsibilities

  • Manage accounts receivable and collections across all business lines (Service, Repair, Modernization, New Installations), ensuring timely follow-up, reporting, and resolution of outstanding accounts
  • Oversee billing processes across all business lines, ensuring accuracy, completeness, and alignment with contractual terms
  • Prepare and present regular updates and reports on AR, billing, and other administrative metrics to branch leadership
  • Oversee contract administration activities as needed, including contract entry, amendments, and annual reviews, ensuring accuracy and alignment with business requirements
  • Communicate professionally with customers regarding billing, collections, service inquiries, and issue resolution
  • Generate and manage work orders, ensuring proper documentation, coding, and system tracking
  • Maintain and update internal systems and databases to support operational accuracy and reporting
  • Provide administrative and/or scheduling support as business needs dictate, to branch operations, including coordination with internal departments and external stakeholders
  • Assist with payroll processing, employee changes, and HR documentation, ensuring confidentiality and compliance
  • Support safety initiatives and regulatory documentation, including inspection scheduling and turnover packages
  • Collaborate with cross-functional teams to support business operations and ensure alignment with branch objectives
  • Draft, update, and distribute reports, presentations, and communications for internal and external use
  • Provide backup coverage for administrative colleagues during absences or peak periods
  • Perform other duties as assigned by the Branch Manager

Who we are looking for

Role Qualifications

  • Minimum 5–7 years of experience in administrative or operational support, preferably in a construction, service, or technical industry
  • Proven experience managing accounts receivable, collections, and billing processes across multiple business lines
  • Strong business acumen with the ability to prepare and present operational updates and performance reports (e.g., AR, billing, work order status)
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with ERP or CRM systems is an asset
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with customers, internal teams, and leadership
  • High level of accuracy and attention to detail in data entry, documentation, and reporting
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Experience supporting payroll, HR documentation, and employee changes is an asset
  • Strong problem-solving skills and ability to handle sensitive customer situations with discretion
  • Comfortable working independently and collaboratively across departments
