The Role:

We are seeking a compassionate and detail-oriented Onboarding (Medical) Coordinator to join our Dedicated Care team on a full-time, permanent basis. This hybrid role is ideal for someone who thrives in a client-facing environment, has a strong grasp of medical terminology, and is passionate about delivering a warm, welcoming experience to new clients. The Onboarding Coordinator will play a key role in initiating the client journey by managing the intake process, facilitating onboarding calls, and ensuring accurate clinical documentation for our physicians and nurse consultants.

This is a full-time hybrid role with up to 1 day per week in the office.

Shift hours: Sunday - Thursday 8:30 am- 5 pm

Key Responsibilities:

Onboarding & Client Engagement

  • Send personalized onboarding emails to new clients, including a preparation package and introductions to their dedicated physician and nurse consultant.
  • Guide clients through the completion of the preparation package, which includes their full medical history.
  • Schedule and conduct onboarding calls to:
    • Review and validate the preparation package.
    • Clarify any missing or flagged information.
    • Answer client questions with empathy and professionalism.
    • Provide a warm, informative welcome to the Dedicated Care program.
Clinical Documentation & Coordination

  • Upload completed preparation packages to the EMR.
  • Write concise, clinically relevant notes summarizing key information for the physician and nurse consultant ahead of the client’s first appointment.
  • Coordinate follow-up care including appointments, prescription renewals, and referrals.
  • Manage and distribute medical reports and results to the care team.

Administrative Support

  • Respond to client inquiries via phone and email with exceptional service.
  • Support chart preparation, scanning, faxing, and mailing of results.
  • Collaborate with other clinic team members to ensure seamless care delivery.

Other Duties As Assigned

  • Outline Medcan services to new clients during onboarding and identify new opportunities to recommend additional services based on client needs and interests.
  • Support operational tasks during periods of high demand (vacation coverage, seasonality).
  • Monitor onboarding progress and follow up to ensure client satisfaction.
  • Assist with internal coordination and communication between departments as needed.

The Requirements:

  • 1–2 years of experience in a medical office or clinical coordination role.
  • Medical Office Administration diploma or equivalent.
  • Strong written, verbal, and electronic communication skills.
  • Intermediate proficiency in MS Word, Excel, and Outlook.
  • Experience with EMR systems and clinical documentation.
  • Prior switchboard or reception experience is an asset.
  • Sound knowledge of medical terminology and laboratory results.
  • Availability Monday-Friday; hybrid work model with on-site presence at 150 York.

This role will be reporting to the Senior Manager, Dedicated and MCare.
