We are hiring an Executive Administrative Coordinator, Full Time Permanent basis at our office located in North York, ON.

Position Summary -

The Executive Administrative Coordinator provides essential administrative and organizational support to assigned executives by handling administrative tasks and ensuring smooth day-to-day operations. This role focuses on calendar management, travel arrangements, and expense processing. The position requires attention to detail, reliability, and the ability to follow established procedures.

Key Responsibilities -

  • Schedule and organize meetings and appointments.
  • Arrange travel as needed.
  • Assist with accounts payable and expense submission tasks, such as submitting invoices and tracking approvals.
  • Maintain organized digital document systems for easy retrieval.
  • Prepare and format correspondence, reports, and other documents as directed.
  • Provide occasional backup for reception duties, including answering phones and greeting visitors.
  • Other duties as assigned.

Qualifications -

  • High school diploma or equivalent; post-secondary education in office administration is an asset.
  • 1–2 years of administrative experience preferred.

Required Skills & Abilities -

  • Highly professional and adaptable with proven judgment and discretion.
  • Sensitivity to confidential matters is required.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to follow instructions and established processes.
  • Good communication skills for internal coordination.
