Brief Call: Our process typically begins with a brief virtual/phone conversation to get to know you! The objective? Learn about you, understand your motivations, and make sure we have the right job for you!

Interviews (the average number of interviews is 3 - the number may vary depending on the level of seniority required for the position). During the interviews, you will meet people from our team: your line manager of course, but also other people related to your future role. We will talk in depth about you, your experience, and skills, but also about the position and what will be expected of you. Of course, you will also get to know Amaris: our culture, our roots, our teams, and your career opportunities!

Case study: Depending on the position, we may ask you to take a test. This could be a role play, a technical assessment, a problem-solving scenario, etc.

Job description

As an Office Manager, you will be responsible for overseeing and enhancing various aspects of our office environment, with a strong emphasis on customer service and creating a positive workplace experience. You will act as an ambassador of Mantu, representing the company through your actions and interactions.

Key Responsibilities:
Workplace Experience:
Deliver a welcoming and professional experience to employees, clients, and visitors.
Assist HR with onboarding and offboarding processes.
Maintain up-to-date office information and manage communications and mail delivery.
Plan and coordinate onsite and offsite events.

Safety, Emergency Management, and Data Protection:
Ensure compliance with Mantu Data Protection policies and standards.
Manage the access control user database.
Report and follow up on security incidents.
Conduct maintenance activities for fire detection and extinguishment systems.
Organize evacuation drills and other emergency management actions.

Cost Management, Office Services & Supplies:
Ensure the availability of necessary supplies and services for smooth office operations.
Evaluate supplier performance and manage vendor relationships.
Analyze office P&L and budget, ensuring cost control.
Oversee the inventory of laptops, mobiles, and other IT devices.

Facility Management:
Maintain a clean and well-maintained office environment through proactive maintenance.
Support fit-out and refurbishment projects.

Sustainability:
Implement initiatives to reduce CO2 emissions and minimize energy and resource waste.

Your Profile:
Fluent in the local language and English.
Bachelor's degree.
Strong interest in the Office Manager role.
Expert-level proficiency in Microsoft Excel.
Desire to work in a dynamic and international environment.
