The Role


Responsible for providing high-quality administrative support to Partners of The Firm. Reports to the Administration Manager and Partners.


What You’ll Do


  • Calendar Management: Maintain calendars, schedule meetings and appointments, and provide daily briefings.
  • Billing Support: Assist partners and managers with billing activities, including preparing and sending invoices to clients.
  • Client Package Preparation: Prepare client year-end financial packages and assist in electronic filing of tax returns.
  • Written Communications: Support partners with the preparation of written communications and correspondence with clients as needed.
  • Workflow Updates: Update workflow software tasks and provide general administrative support to the team.
  • Ad-hoc Support: Provide support to partners and managers on various ad-hoc duties and assignments as required.
  • Team Support: Provide general team administrative support as specified or needed (e.g., Reception Coverage).


What You Bring


  • Experience: 2+ years Administrative Assistant experience, preferably in a professional services setting.
  • Skills: Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)., strong analytical and problem-solving abilities, and excellent communication skills.
  • Attention to Detail: Exceptional proofreading skills and strong attention to detail.
  • Organization: Proven ability to manage multiple assignments effectively and complete tasks with a high level of accuracy in a deadline-oriented environment.
  • Prioritization: Demonstrates strong organizational skills and ability to prioritize workload.
  • Team Player: Ability to work effectively in a collaborative environment. Understands and supports job sharing activities.
  • Growth Mindset: Openness to learning and adapting in a fast-paced environment.
  • Additional Assets: Experience with workflow software, time and billing systems, and CaseWare considered an asset.
