Job Description

POSITION PURPOSE SUMMARY:

The Salvation Army Christmas Kettle Campaign is part of a century old tradition to contribute towards building strong communities by helping The Salvation Army give hope to others. The Christmas Kettle Coordinator position is a short-term contract position. The successful candidate is responsible for oversight of many Christmas Kettle locations in London, Ontario and surrounding area. Kettle locations include shopping malls, grocery stores and retail outlets. They organize, direct, and supervise the work performed by Christmas Kettle Campaign Staff/Volunteers. They will also ensure adequate shift coverage is met prior to and during each shift.

Accountabilities

Incumbent may perform all, some, or similar range of duties as below:

  • Attend a day of training/orientation on The Salvation Army and the Christmas Kettle Campaign.
  • Provide support in getting Kettles to zone locations prior to volunteer’s arrival at Campaign onset.
  • Participate in special events related to Kettle Campaign.
  • Communicate daily issues and supply deficiencies to the manager.
  • Respond to questions/queries from potential donors regarding SA ministries and programs.
  • Initially deal with issues as they arise, referring all serious or potentially serious issues to the Manager and/or Executive Director immediately.
  • Refer all requests for interviews by the media to the Executive Director.
  • Foster and maintain positive working relationships with kettle sites.
  • Liaises with service clubs, churches, and businesses to engage their participation in filling volunteer shifts or becoming kettle “sponsors”.
  • Work closely with the Manager to ensure kettle shifts are recorded accurately in kettle campaign database (Salesforce), monitoring shifts on a regular basis to ensure they are all filled and respond to emergency absences, etc.
  • Coordinate the delivery and pick-up of kettles to/from sites daily, ensuring the security of donations; may deliver and pick-up kettles in an emergency situation.
  • Ensure all Kettle donations are delivered to secure location at shift completion, following all applicable policies and procedures.
  • Host at a kettle as required ensuring necessary coverage for breaks, etc.
  • Ensure that kettle locations have adequate supplies of literature etc.
  • Visit locations intermittently.
  • Participates in recruitment of kettle volunteers.
  • Assist the Manager with the training, orientation, supervision and performance management of kettle staff and/or volunteers.
  • Promote, coordinate, and oversee Christmas Kettle Campaign Assistant Coordinators and/or volunteers providing support as required, reporting any performance concerns to the Manager.
  • Provide support to Assistant Coordinators regarding responses to volunteer/donor/kettle site inquiries as required.
  • Ensure Assistant Coordinators are aware of priority responsibilities each day and have the information/resources needed to complete them.
  • Participate in volunteer appreciation/recognition activities, in conjunction with the Manager.
  • Assists with answering phones and responding to emails as required.
  • Ensure timesheets and mileage reports are submitted accurately and timely (weekly basis).
  • Supports other aspects of London Community Services Christmas programming if needed (i.e., Santa Shuffle, Christmas Assistance Program).
  • Post campaign:
  • organize retrieval of all equipment/supplies from various kettle locations
  • participate in campaign debrief – reviewing effectiveness of kettle sites, reviewing volunteer engagement and recommend new approaches to volunteer recruitment if required

Finance/Administration Responsibilities

  • In cooperation with the manager, ensures proper processes are in place and followed at the assigned hub for the secure collection, counting, storage and depositing of all funds.
  • Count, process and deposit all cash that comes in through the kettles at assigned hub, following all TSA financial policies and processes.
  • Put any cheques that are in the kettles in the safe to be picked up or delivered to Administrative Assistant for processing.
  • Responsible for managing Tiptap machines for locations at their hub, ensuring machines are at the appropriate kettle site and this information is accurately recorded in Tiptap site.
  • Input kettle totals (including Tiptap amounts) into TSA Kettle System as well as local spreadsheet, on

a daily basis.

  • Provide prompt, friendly responses to donor inquiries and requests, seeking timely and effective resolution.
  • Liaise with LCS Administrative Assistant regarding cheque donations and other relevant financial matters.
  • Provide reports to the Community Ministries Manager and/or Executive Director as required.
  • Perform other related duties as required.

  • Reports directly to Community Ministries Manager
  • Direct reports: n/a. Workflow coordinator for Christmas Kettle Workers

Financial And Materials Management

  • Collect donations and petty cash and ensure donations are always kept secure.

Working Conditions

  • This is a temporary seasonal position.
  • The working environment is typically in the office or at kettle locations in generally agreeable conditions.
  • Local travel is associated with this position, including driving at night and in inclement winter weather.
  • Required to wear appropriate Salvation Army identification and/or brandwear.
  • Will be required to carry a cell phone and respond to emergency situations.

Normal office hours of operation

  • Normally working 40 hours per week.
  • Christmas Kettle Campaign hours of operation are normally 9:30 a.m. to 9:00 p.m. Monday through Saturday.
  • Shifts may include days, afternoons, evenings, weekend shifts, and split shifts, Monday through Saturday. Applicable shifts include a ½ hour unpaid meal break.
  • Flexibility in scheduling is required, as the hours may increase as per operational requirements.
  • The Supervisor will set the hours of work and work schedule.

Education, Qualifications And Certifications

  • Completed Secondary School.
  • Valid Ontario Class “G” Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.

Experience And Skilled Knowledge Requirements

  • A minimum of one year of related experience or working in customer service.
  • Previous volunteer supervisory experience would be a definite asset.
  • Money handling experience is an asset.
  • Experience in office administration.
  • Experience with general office equipment with strong skills and experience using Excel and other Microsoft Suite products
  • Experience with Salesforce Volunteer Management Software would be a definite asset.

Compensation

The target hiring range for this position is $17.20 to $20.64 with a maximum of $24.77.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
