Associate, Corporate Facilities
How does the role impact the organization?
Raymond James Ltd. is seeking a qualified Associate, Corporate Facilities for our downtown Vancouver office. Raymond James Ltd. is one of Canada’s leading independent investment dealers offering high quality investment products and services to Canadians seeking customized solutions to their wealth management needs
This role will provide ongoing support to the Corporate Facilities Department as an onsite resident role. Further, the successful candidate will work with internal stakeholders on key initiatives on an ongoing basis.
What will your role be responsible for?
- Support facilities projects such as expansions, renovations, decommissioning, relocations, and signage installations by monitoring timelines, budgets, milestones, and stakeholder approvals;
- Build and adjust project budgets, track expenses, review and reconcile invoices (including IT-related costs), and ensure compliance with internal approval and audit requirements;
- Maintain Lease Database for all 22 Corporate and IAS locations, tracking key information;
- Review landlord communications and take necessary actions, including updating internal records, and alerting IT/Finance/Management of any relevant business impacts;
- Coordinate lease support tasks including deposit payments, submissions for permits, floorplans, insurance, tenant allowances, close out documentation, invoices and payments, and tracking of each.
- Reconcile CAM/operating costs, request statements, and adjust rent schedules to reflect current rates for Facilities and Finance accuracy;
- Coordinate insurance for all locations in collaboration with Finance and RJF Corporate Insurance, ensuring timely distribution of COIs, managing updates and any modifications or cancellations;
- Oversee scheduled daily upkeep to staff areas and facilities, such as kitchens and meeting rooms, stationary, and other supplies, ensuring there are adequate stock levels;
- Be a standing member of the RJL Health and Safety Committee in BC and a member of RJLs Canada Wide Health and Safety Committee. Provide support to VP, Corporate Facilities in executing RJLs Canada Wide Health and Safety Committee mandate. Responsible for identifying and maintaining required level Fire Warden, First Aider & Committee members representative and relevant training across RJLs Canadian facilities;
- Manage vendor relationships;
- Assist with the coordination of internal and external move management
- Coordinate all aspects of office maintenance (furniture/appliance repairs, plants, building maintenance);
- Assist with security access database;
- Review invoices to ensure they correspond with services provided;
- Support staff functions; and
- Be responsible for various special projects as assigned in areas such as:
- Facilities Management
- Building Access Management
- Construction/Renovation Projects
- Real Estate

What do we expect from you?
To qualify for this opportunity you possess:
- Post Secondary Education or certification in Facilities or related/ Equivalent Field of study
- Previous 3-5 office experience, preferably in a customer service oriented role;
- Excellent verbal and written communication skills;
- Proficiency with MS Office particularly Word, Excel, Access, PowerPoint as well as Adobe Professional;
- Exceptional problem solving skills;
- Excellent analytical abilities;
- Keen attention to detail;
- Self-starter qualities with a desire to grow within the position;
- Well-developed interpersonal skills;
- Excellent work commitment and willingness to accept additional responsibilities;
- Ability to prioritize, multitask, work within time constraints and follow-up;
- Patience and dedication to cost-saving initiatives;
- The ability to perform minor lifting; and
- Proficiency in French is an asset.

Salary Range: BC (based on Education, Work Experience, etc) $52,000-60,000 in addition to competitive performance bonuses/incentives
