The Resident Account Specialist (RAS) will provide exceptional administrative support to assigned communities and engage with residents to improve customer satisfaction, optimizing community performance. The RAS will be responsible for specific administrative tasks and transactions, including bookkeeping, collections, and more while ensuring excellent customer service across multiple communities.

Responsibilities

  • Resident Account Services
    • Oversee the rental payment process, encouraging residents to make rental payments electronically.
    • Enforce rent policy, maximize gross rent, and minimize vacant and delinquent rent loss.
    • Generate and distribute appropriate notices for debt collections including late payments, NSF notices and eviction notices.
    • Verify accounts have late fees posted by the late date and dispossessory fees posted by the filing date
    • Manage resident online payment enrollments.
    • Daily collection communication to delinquent residents with notes updated in property management software delinquent report.
    • Responsible for assigned community portfolio resident account ledger activities, ensuring documentation is kept complete, accurate, up to date and compliant
  • Evictions
    • Follows the Company’s procedures related to evictions and violations by following proper notice requirements, evicting residents, and maintaining communication with attorneys, representing the property as required in court hearings and eviction proceedings.
    • Oversee the process of filing evictions for non-payment-related lease violations.
    • Maintain communication with attorneys for eviction processes, court dates.
    • Confirm court hearings are attended with an appropriate representative as required.
  • Move Outs
    • Process all Deposit Accounting upon move-out.
    • Partner with onsite team to ensure Move Out Report within HappyCo is completed within a timely manner.
    • Conform Deposit Accounting is completed within an appropriate time frame.
  • Collections
    • Manage collections from former residents’ balances for 30 days.
    • Identify opportunities for collecting most of the balances prior to sending to collection vendor partner. RAM has authority to negotiate balance amounts within authorized limits if former resident pays balance in full.
    • Submit uncollected resident accounts to collection vendor partners on day 31.
  • Reporting
    • Weekly collection and delinquency reports with notes submitted to the Resident Account Manager.
    • Maintain knowledge of all relevant laws and agency regulations, including but not limited to fair housing, harassment, disability accommodations, and landlord-tenant relationships to ensure 100% compliance.
    • RAS will follow SOP guidance related to ledger management.
    • Any deviations from SOP guidance will require RAM review and approval.
    • Perform additional duties as assigned.
Education And Experience Required

  • 2-3+ years’ experience in an Assistant Property Manager role
  • 2+ years in Property Management
  • Experience with property management software preferred
  • Strong attention to detail, excellent analytical skills, and the ability to identify and resolve problems in a timely manner
  • Proficient in Microsoft 365, including Word, Excel, and Outlook
  • Able to work independently, demonstrates accuracy and thoroughness, prioritizes and plans work assignments, organizes and uses time efficiently to meet deadlines.
  • Work Hours: 40 hours per week, as scheduled, Monday through Friday. The weekly schedule may change as required.
  • Equipment Required: telephone, computer (including keyboard, mouse, and monitors), photocopier, printer, etc.
  • Excellent interpersonal skills providing for effective verbal and written communication with residents, team members, peers, vendors, owners, etc.
  • Ability to de-escalate and respond sensitively to customer service or account -related concerns
