What we are looking for

We are looking for a dynamic and excellent communicator to fill the position of Events, Sponsorships, and Communications Coordinator. This role is THE point of contact for all on-site event coordination. They are the bridge between sponsors and ensure that all services are delivered according to the agreements. She supports the Communications and Public Affairs department with various tasks, and her collaboration with the entire staff is essential.

What you'll do with us

Under the supervision of the Director of Communications and Public Affairs:

EVENTS - annual, one-off, meetings, marketing, communications, government relations, etc.

  • Act as the main contact for any event organized by the RCCAQ (organizational needs and sponsor satisfaction, compliance with agreements).
  • Propose venues for events (oversee all needs and follow-ups): annual conferences, golf courses, summits, assemblies, meetings, etc.
  • Ensure smooth registration and ensure that events are innovative and eco-responsible.
  • Collaborate in setting costs for the development of the annual sponsorship opportunity plan and in the evaluation of various event registration packages.
  • Respond to sponsors or business partners (event-specific needs) to ensure their complete satisfaction.
  • Collaborate in monitoring the sponsorship opportunity plan based on surveys and/or satisfaction meetings.
  • Assist sponsorship sales with contract development and invoicing.
  • Ensure the creation and updating of various lists.
  • Collaborate in the development of the event-related social media publication calendar.
  • Provide support for event graphics.

Publications

  • Collaborate in maintaining lists of subscribers, their segmentation, etc.
  • Collaborate in the development of communication strategies.
  • Follow up on advertisements sold (compliance with agreements).
  • Support your superior in the production of publications (various follow-ups, layout, relief during absences, etc.).

General Communications

  • Plan and monitor the needs of events for which the RCCAQ is a sponsor or partner.
  • Write certain texts, under the supervision of your superior.
  • Occasionally monitor certain graphic design projects.
  • Perform any other related tasks as required by your superior or according to the needs of the office.

The profile sought

You have management experience events (sponsorship management, compliance with agreements, visibility, hotel reservations and attrition, overnight stay tracking, banquets, menus, etc.), you enjoy communicating with various sponsors and suppliers, carrying out varied tasks, and you are able to play a pivotal role within a team (multiple collaborations). You are organized, rigorous, and creative, and you have the desire to be involved in the organization of several events.

  • AEC related to the planning, coordination, and management of events and conferences, or training deemed relevant
  • Additional training in communications could be an asset
  • Five (5) years of relevant experience
  • Excellent command of MS Office
  • Experience in major event management
  • Strong aptitude in logistics and project coordination
  • Strong ability to communicate with sponsors, partners, or suppliers and meet expectations
  • Demonstrated problem-solving skills
  • Excellent communication skills in written French (impeccable writing)
  • Functional oral and written communication skills in English (some partners English speakers)
  • Knowledge of the property and casualty insurance industry or a professional association would be an asset

Work Schedule

  • Total of 35 hours per week
