About the Role:
As part of the Administrative Services Divisional team, you are responsible for providing general administrative support to management and any administrative co-ordination associated with the Parks, Recreation and Culture Services Department.
What You'll be Doing:
- Tracking and follow up on divisional projects and tasks, creation of required documents, preparation of materials and council report coordination.
- Provide administrative support for Programs and Cultural Services and Parks and Facilities divisions, including by-law compliance administration, third party service and billing, visa reconciliation, file management, central key holding and distribution for all PRCS facilities.
- Process timesheets and related tracking, seek clarification for accurate data in support of payroll including running reports, and identifying errors.
- Prepare and process documentation for accounts payable and budget administration.
- Receive visitors, deliveries and cash pick-ups, field general calls, ordering and distribution of supplies, and records management.
- Process improvement input and execution, procedure creation and review, peer training, and special projects.
What's Required:
- Grade 12 education or equivalent.
- Minimum of one (1) year experience in an administrative position is preferred.
- Ability to adapt quickly to new software.
- Professional written and verbal communication skills.
- Analytical and detail oriented.
- Ability to multi-task and prioritize effectively.
- Ability to make decisions independently within a fast-paced environment.
- Proven experience in Microsoft Office Suite.
Other Requirements:
Other Position Requirements include: Class G Driver’s Licence
Candidates selected for the position will be required to complete the Ministry of Labour’s Worker Health and Safety Awareness training and provide proof of the educational credentials listed on their resume and job application.
