The Opportunity:
The Patient Service Representative team is responsible for the efficient operation of the Clinical Support Services division. Responsible to navigate the outpatient through the elective booking process for diagnostic imaging, cardiorespiratory, physiotherapy and ambulatory care services.
Responsible to maintain an up-to-date and accurate patient medical record system inclusive of distributing results in into the continuum of care.
Qualifications
- OSSD or equivalent
- Knowledge and understanding of medical terminology.
- Previous clerical experience in the health care field.
- Must strive to continuously provide a safe and supportive environment for patients, staff, physicians, and volunteers
- Must adhere to the duties of workers, as stipulated in the Occupational Health and Safety Act
- Must have an ability to effectively communicate (written and verbal) in the English language in order to provide excellent communication with team members, patients and families. Ability to communicate in additional language(s) is considered an asset.
- Must have basic computer skills
- Must be dedicated to professional growth & development
- Must be able to perform all bona fide and essential duties of the position, which may include physical demands such as moving/transferring patients, pushing, pulling, bending, etc.
- Must have demonstrated excellent attendance/performance record
- Excellent organization and prioritization skills
- Ability to work independently and effectively communicate with other members of the health care team
Preferred
- Medical Office Administration course or equivalent.
- Knowledge of Meditech computer system an asset.
- Previous experience in Diagnostic Imaging an asset.
- Has a sound knowledge of hospital and departmental procedures
Duties and Responsibilities:
- Answers all enquiries of a general nature and assists them in a friendly and co-operative manner.
- Transcribe and sort incoming electronic requisitions.
- Checks and confirms all patient information for accuracy to assist in maintaining an up-to-date medical record for all patients.
- Accepts and schedules elective bookings within the portfolio and records them appropriately.
- Schedules patient by priority, within expected wait time targets and/or within a timely fashion
- Ensures patient is made aware of any needed preparation for all procedures and what the expectations of the visit will be
- Submit ordering provider information and updates for inclusion in the medical record distribution
- Faxes booked appointments details to referring clinicians
- Updates CWS to reflect technical or therapeutic schedules and/or as requested by Manager or Physician
- Advises appropriate manager of wait times by modality monthly and/or if there are longer than expected wait time
- Prints lists for modality distribution and volunteer lists as directed
- Greets and directs patients to the appropriate area
- Request previous imaging as directed and coordinates incoming chart/imaging transfers
- Sorts and distributes departmental reports as appropriate
- Keeps account of all unreported examinations to expedite finalizing reports
- Flags potential report discrepancies for the Radiologist to review
- Retrieves and dispatches patient exams, reports, and images by patient or outside facility request
- Maintains CD burner
- Work collaboratively for relief
- Performs other additional duties as required

Hours of Work: Days – 8-hour shifts. Please be reminded that as a Hospital, in order to provide the necessary patient care, our operations run 24/7. Therefore, depending on the program for which you are applying, it may be an expectation that you are available to work weekdays and weekends, as well as all shifts - days, evenings, and nights.
Regularly scheduled for up to 24 hours per week (48/pay).
Wage: $30.757 - $31.144 per hours plus applicable shift premiums for weekends.
