We are seeking an experienced Administrative Representative to fill a permanent full-time position in Winnipeg to provide a wide
range of operational administrative support to the manager of the Distribution Operations & Maintenance Division – Winnipeg.
Responsibilities:
- Complete a broad variety of functions that facilitate the Manager's ability to lead the Department effectively and efficiently;
- Expedite matters of high priority and of a confidential nature for the Manager, directing items to provide necessary immediate
- Work regularly with confidential information, which if disclosed could have a considerable impact on the department.
- Manage and coordinate an extremely active calendar including meetings, appointments, training, and seminars.
- Responsible for controlling the flow of information through the Manager's office, including screening, and monitoring incoming
- Provide support to Customer Service Centre Supervisors and assist with Management response to escalated customer
- Act as a liaison with internal and external stakeholders to ensure accurate, timely delivery of reporting and other materials to
ensure deadlines are met.
- Plan, collect, prepare, and distribute information for meetings and attend events - supporting the Department leadership
- Prepare and update monthly reports and dashboards for review and analytics.
- Prepare and compose correspondence such as emails, memos, and communications on the Manager's behalf. Take the lead
- Compile and maintain information for the Department Safety Management System; may be required to act as Recording
- Will coordinate workflow management in support of the Management leadership team.
- Assist in the identification, coordinating and tracking of departmental training requirements. Ensure the timeliness and
- Maintain organizational charts and HR reports such as absence, FTE, sick leave and vacancy reports.
- Establish and maintain good communication with the DO&M – Rural Director's office. At times may be required to backfill for
- Support organizational change.
Qualifications:
- Grade 12 education and the completion of business-related courses, plus two years of directly related experience of which

- Grade 12 education, plus three years of directly related experience of which one year was supporting managerial level
- Demonstrated ability to handle sensitive or confidential information with discretion and security.
- Possess a thorough understanding of customer service functions at the Customer Service Centre and Departmental level.
- Demonstrated resourcefulness and resilience, utilizing collaboration as an effective approach to problem-solving.
- Forward looking thinker, who actively anticipates needs, seeks opportunities, proposes solutions and work independently.
- Possess a working knowledge of commonly used software (M5, Banner, eGIS, Visio, SAP, MWM, IRIS call handling system)
- Possess a thorough knowledge of corporate policies, procedures, organizational structure, objectives and basic operations.
- Must have knowledge and experience working with Budgeting, Planning, and financial reporting process.
- Demonstrated ability to interpret and apply regulations, procedures, policies and collective agreements.
- Exceptional interpersonal skills with demonstrated emotional intelligence navigating relationship building and change
- Superior verbal and written communication skills. Highly developed administrative skills including excellent business English,
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to
- Demonstrated ability in maximizing the effectiveness of digital tools as they relate to the function of the position, including, but
not limited to, Office 365, Teams, SharePoint Online, and SAP with the willingness and capacity to learn other systems as
required.
- Willingness to travel and participate in training and development programs that are relevant to the position.
Salary Range
Starting salary will be commensurate with qualifications and experience. The range for the classification is $29.12-$39.90 Hourly,
$55,796.78-$76,451.18 Annually.
