The Opportunity: As a Community Administrator, you will play a key role in ensuring the smooth day-to-day operations of the property while fostering a welcoming and responsive resident experience. This position is central to supporting operational excellence, managing resident relations, and upholding community standards through proactive communication and administration.
What You Will Do
Resident Relations & Customer Service
- Deliver best-in-class customer service to residents and visitors.
- Address resident concerns, complaints, and emergencies, including after-hours incidents, while maintaining accurate documentation.
- Issue and serve notices (e.g., Notice to End Tenancy, Notice to Enter, Violation Notices) in compliance with legal requirements.
- Support resident satisfaction through prompt communication and consistent follow-up.
- Uphold privacy policies when managing resident information.
- Record receipts and make bank deposits accurately and timely.
- Monitor resident ledgers and provide weekly accounts receivable reports.
- Manage rental arrears, including issuing Termination and Rent Increase Notices in line with the Residential Tenancies Act.
- Administer move-in deposits and move-out reconciliations.
- Code and process accounts payable invoices.
- Oversee office organization and cleanliness.
- Manage office equipment maintenance and supply inventory.
- Assist with general administrative duties and provide coverage during staff absences.
- Prepare and maintain required reports such as Delinquency, Pre-Authorized Payment Reports, and others as needed.
- Perform leasing duties as needed when the Leasing Representative is unavailable.
- Collaborate effectively with colleagues, contractors, and property teams.
- Participate in on-call rotation to address urgent issues outside of business hours.
- Embrace and support BGO’s culture of environmental sustainability, social responsibility, and inclusion.
- Education: College or university education in a business-related field is an asset.
- Experience: Minimum 1 year of residential property management experience preferred.
- Software Proficiency: Intermediate skills in Microsoft Office; experience with Yardi is an asset.
- Communication & Relationship Skills: Strong verbal and written communication; professional phone manner; ability to build trust with diverse stakeholders.
- Organizational Skills: Detail-oriented, able to manage multiple priorities and tight deadlines with minimal supervision.
- Decision-Making: Strong problem-solving skills, strategic thinking, and adaptability.
- Flexibility: Available during month-end periods and responsive to after-hours emergencies.
- Legal Knowledge: Familiarity with landlord/tenant legislation and regulatory compliance.
- Police Clearance: A criminal verification check is required for employment
