About The Role

We are seeking a detail-oriented and proactive AP/AR Administrator to join our team. You will be responsible for a variety of financial, administrative, and clerical services, ensuring the accuracy and efficiency of our operations. You will support the smooth, day-to-day operations of both the Accounts Payable (AP) function, ensuring the timely and accurate payment of invoices for a portfolio of properties, and the Accounts Receivable (AR) function, compiling and reporting all property-related revenue. You will act as a crucial liaison between resident managers, property teams, and the corporate office.

What You'll Do

You will be contributing to the financial health and operational excellence of our properties every day by taking ownership of the following key areas:

Accounts Receivable (AR)

  • Create and manage cash receipt batches for Debit, cheques, and online payments; process deposit accounting.
  • Process refund requests; handle parking and locker addendums; ensure all move-ins are completed in the prescribed time according to company policy; process N9 & N11 forms and send the exit package to the property team.
  • Act as the first point of contact for inquiries from site teams, concierge, General Managers, and tenants regarding ledgers, charges, and invoices.
  • Generate yearly rent receipts for tenants requesting them for tax filing purposes.

Accounts Payable (AP)

  • Key invoice data; import Bell and Rogers invoices from portals, key them, and send for approval.
  • Review invoice data and send it to the next workflow stage for approval; post approved batches as necessary.
  • Communicate with operational and head office teams to follow up on invoices missing Purchase Orders (POs).
  • Reconcile supplier statements and follow up on any discrepancies in a timely and professional manner.

General Duties

  • Participate in special projects on an ad hoc basis as requested.
  • Perform other administrative and financial duties as required.

Who You Are

You are an organized and reliable team member who drives operational efficiency by ensuring the integrity of all financial records. You bring the following skills and attributes:

  • Prior experience in an Accounts Payable and/or Accounts Receivable role is required.
  • Possesses strong analytical and problem-solving skills with a keen attention to detail and accuracy.
  • Demonstrates excellent communication skills (both verbal and written) for effectively liaising with internal and external stakeholders.
  • Organized and efficient, capable of managing multiple priorities and meeting deadlines in a fast-paced environment.
  • Proficiency in using accounting or property management software (experience with Yardi is a strong asset).
  • Comfortable working independently and as part of a team
