Our client, a leading public-sector organization recognized for its impact and community engagement, is seeking a Senior Executive Assistant to provide high-level administrative and operational support to the Vice-President, External Relations.
This role offers an opportunity to contribute to meaningful initiatives spanning media relations, alumni engagement, and campus events, all while supporting senior leadership and key external stakeholders.

Key Responsibilities
- Provide comprehensive executive support to the Vice-President, including calendar management, scheduling, correspondence, and meeting coordination.
- Support the preparation and organization of board and committee meetings — including agenda materials, minutes, and logistics.
- Liaise with internal and external stakeholders, ensuring smooth communication and coordination across multiple portfolios (media relations, alumni engagement, campus planning, and more).
- Manage sensitive and confidential information with professionalism and discretion
- Coordinate executive events and engagements, occasionally providing on-site event support.
- Collaborate with other senior administrative professionals to ensure seamless operations across the broader External Relations team.
About You
You’re a polished and proactive professional who takes initiative and enjoys being a key point of support for senior leaders. You’re known for staying composed under pressure, anticipating needs, and bringing order to complexity.
Qualifications:
- 6–8 years of executive-level administrative experience supporting senior leaders (VPs, Directors, or equivalent).
- Previous experience within the public sector or a large, complex organization preferred.
- Intermediate proficiency in MS Office Suite (Word, Excel, Outlook, Teams).
- Strong written and verbal communication skills with attention to detail.
- Proven ability to manage multiple priorities, adapt quickly, and maintain a high level of professionalism.
- Experience coordinating events, meetings, or board-related activities is an asset.
