Established by MD Financial Management Inc. and Scotiabank, the Medicus Pension Plan is currently open to incorporated physicians in Alberta, British Columbia, Newfoundland and Labrador, Nova Scotia, Ontario, Prince Edward Island, and the Territories.
The Specialist, Executive and Board Services contributes to the overall success of the Medicus Pension Plan / Canadian Wealth Management in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

Is this role right for you? In this role, you will:
- Champion a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
Manage the Board workplan, tracking key deliverables, meeting schedules, and governance milestones.
Coordinate meeting and calendar logistics, room bookings, coordinating agendas, and participant travel arrangements.
Support the creation and assembly of meeting materials, compiling and formatting Board reports, ensuring established deadlines are met.
Maintain the Board library and resource centre, ensuring timely updates and efficient management of governance documents and reference materials.
Record minutes and track action items for Board meetings, ensuring accuracy and timely follow-up.
Support the processing of Board payroll and expenses, ensuring compliance with governance policies and timely reimbursement.
Collaborate with internal teams and external service providers (e.g., consultants, auditors) to support governance operations.
Coordinate Medicus leadership team meeting and calendar logistics, scheduling meetings, room bookings, coordinating agendas, and participant travel arrangements.
Support the processing of Medicus leadership team expenses, ensuring compliance with related policies and timely reimbursement.
Record minutes and tracks action items for Medicus leadership team meetings, ensuring accuracy and timely follow-up.
Maintain document management systems to ensure easy access to records and reference materials.
Continuously improves governance and other support processes through automation and best practices.
Do you have the skills that will enable you to succeed in this role? - We'd love to work with you if you have:
- University degree in a relevant field or equivalent experience.
5+ years in a corporate governance setting, with direct experience supporting boards and/or committees is an asset.
Experience with Diligent Books or similar board management software is an asset.
Familiarity with executive or board reporting, or other committee experience, is preferred.
Highly organized, detail-oriented, and efficient.
Strong written and verbal communication skills.
Excellent interpersonal skills and exceptional professionalism when interacting with board members and senior executives.
Strong analytical and problem-solving capabilities.
Demonstrated ability to manage confidential information with discretion.
