POSITION OVERVIEW:
Reporting to the AVP Construction, the Construction Contract Administrator plays a critical role in preparing and coordinating the contractual aspects of construction projects. The role involves close collaboration with Project Managers, Vendors, and Internal Stakeholders to ensure compliance, mitigate risks, and maintain accurate documentation throughout the project lifecycle

RESPONSIBILITIES:

    • Contract Management
    • Prepare, review, and administer jobs, contracts, subcontracts, purchase orders, and change orders inside and out of the Yardi system.
    • Assist Vendors submitting invoices to the Vendor Café platform.
    • Verify accuracy of project and vendor information on invoices.
    • Ensure all contractual documents are compliant with legal standards and company policies.

    • Documentation & Record Keeping
    • Review and prepare Tenant and vendor correspondence as may be required.
    • Maintain organized records of all contract documents, correspondence, amendments, and approvals.
    • Ensure all project documentation is up-to-date and accessible to relevant stakeholders.
    • Assist in the preparation of project close-out documentation.

    • Compliance & Risk Mitigation
    • Monitor compliance with contract terms, insurance requirements, bonding, and regulatory obligations.
    • Identify potential risks and assist in developing mitigation strategies.
    • Support internal and external audits related to contract administration.
    • Audit a project sample in groups at a Quarterly interval

    • Reporting & Analysis
    • Generate regular reports on contract status, change orders, claims, and other key metrics.
    • Prepare and present Quarterly reports as required
    • Integrity and Analysis of Vendor management data
    • Support budgeting and forecasting efforts by providing contract-related insights.

    • Other duties / projects as required.

QUALIFICATION REQUIREMENTS:

    • 2 years of experience in administrative role within property management or construction.
    • Exceptional written and verbal communication skills.
    • Yardi proficiency not required but will be considered an asset
    • Proficient in Microsoft Office Suite of programs.
    • Proven analytical and problem-solving abilities.
    • Detail-oriented with the ability to manage multiple priorities.
