Summary
We are seeking an Executive Assistant who will play a pivotal role in supporting our President and Vice President, while also ensuring smooth office operations and exceptional employee experiences across multiple cities. This is a temporary, full-time position to provide leave coverage. While the length of the assignment may vary, it is expected to last several months, with the possibility of future opportunities based on organizational needs. Based in Edmonton, this role offers the chance to work directly with senior leadership and be at the heart of a fast-growing company.

What You’ll Work On
Executive & Administrative Support
- Serve as the right hand to the President and Vice President, ensuring their time is maximized and priorities are well-organized.
- Manage complex calendars for the executive team, ensuring strategic planning meetings and key business priorities are well-structured.
- Act as a proactive problem-solver anticipating challenges, finding solutions, and streamlining executive workflows.
- Organize and book travel for the President, Vice President, and senior leadership team, including flights, accommodations, and itineraries.
- Support broader team travel needs, ensuring alignment with budgets and business priorities.
- Provide high-touch logistical support for leadership offsites and industry events.
- Ensure smooth operation of our offices in multiple cities, including Edmonton, Calgary, and Winnipeg.
- Partner with local leaders to maintain a positive, well-run office environment that supports productivity and culture.
- Handle office vendor relationships, supplies, and facilities management, addressing issues as they arise.
- Establish and lead Employee Experience Committees to foster engagement and build company culture across locations.
- Own logistics for company-hosted events, including team offsites, leadership summits, and internal gatherings.
- Coordinate team participation in industry events and conferences, ensuring a seamless experience for attendees.
- Support internal People & Culture initiatives that enhance team connection, collaboration, and engagement.
- Previous experience as an Executive Assistant or in a similar role supporting senior leadership.
- Exceptional organizational skills with the ability to juggle multiple priorities.
- Strong tech skills in productivity tools such as Microsoft Office, Teams, and project management software.
- High adaptability in a fast-moving environment, with a proactive, solutions-oriented mindset.
- Excellent interpersonal skills and a passion for enhancing employee experience.
- Experience in executive support, office management, or event coordination is an asset.
