What you will do:
We’re looking for a highly organized and detail-oriented Event Cinema Coordinator to join our dynamic team!
In this role, you’ll support the day-to-day operations of our Event Cinema team, owning key admin workflows, tracking deliverables, and coordinating event logistics that keep programs on schedule and on budget. This role strengthens the growth of Event Cinema—primarily through the theatrical line of business—by managing documentation, vendor and cinema communications, calendars, assets, and post-event wrap, ensuring smooth execution and consistent program quality.
This is a hybrid position (3 days in-office weekly) based at our Toronto office located at 1303 Yonge St.

What You’ll Do
Department Operations & Admin
- Process invoices, code expenses, and maintain theatre lists
- Create/edit Cineplex Central Film IDs in SharePoint and Vista
- Manage program setup, pricing, and voucher inventories
- Execute vendor setup, POs/cheque requisitions, and record-keeping
- Weekly/monthly reporting for internal and external stakeholders.
- Draft and distribute advance sales and event announcement updates
- Maintain the master programming calendar and circulate key dates.
- Build theatre/distribution lists and update Film Central with complete program metadata and details
- Coordinate with teams and licensors to source and clear assets
- Traffic in-theatre trailers and manage delivery/version control of digital and print materials
- Upload key materials to shared cloud folders and ensure timely theatre access
- Update and QA Event Cinema website content for accuracy (titles, dates, pricing, showtimes)
- Publish weekly priorities and coordinate fixes for broken/incorrect links
- Manage bookings and billing data for distributor-requested screenings and theatre rentals
- Ensure accurate setup in Vista, reconcile discrepancies, and liaise with theatres and Finance
- Document SOPs, suggest workflow improvements, and uphold data/privacy and brand standards
- Provide coverage for peak periods and other duties as required.
Education
- College degree or University diploma required; Bachelor’s degree in Communications or Business preferred
- 1–2 years in an administrative role
- 2–3 years in the cinema exhibition industry (preferred)
- Strong project, time management and organizational skills
- Excellent communication, presentation and relationship-building abilities
- Detail-oriented, proactive, and adaptable in a fast-changing environment.
- Proficient in Microsoft Office (Excel, Word, Teams, PowerPoint).
- Familiarity with website organization and Agility program software
- Collaborative team player with the ability to work both independently and cross-functionally
- Thrives in a fast-paced environment with the ability to effectively manage multiple projects and priorities
