Summary Of Duties

Reporting to Supervisor, Customer Service, the Storefront Clerk performs support duties associated with the operation of the various sections within the Hamilton Water Division. Responsible for processing transactions at the storefront, verifying and balancing financial purchases, receiving inquiries and complaints from contractors and the general public. Performs meter operations inventory, processes incoming and outgoing mail.

GENERAL DUTIES

Provides sensational customer service at the storefront for the sale of permits for various water and wastewater programs, wastewater tanker tickets and water hauler smart access cards/accounts for the Division.

Liaises with Ontario One Call to submit requests and prepares underground packages.

Responds to inquiries generated through the CRM (Customer Relationship Management) system to ensure timely and efficient customer service.

Operates cash register and point of sale (POS) machine with a large volume of cheque and cash sales. Prepares daily revenue distribution statements and bank deposits for security courier pick-up. Conducts balancing daily and verifies all transactions for accuracy. Works with the Finance section to identify variances.

Receives and prepares grant funding requests under the Protective Plumbing Program and forwards to Supervisor for approvals.

Receives mail, sorts, and distributes in order of priority. Contacts couriers and arranges for pick-ups and deliveries.

Provides clerical support by creating spreadsheets, labels, charts, letters, memos, forms and documents. Performs data entry into computerized database system, creates work orders and service requests for Hamilton Water Division.

Processes customer letters, backflow prevention test reports, backflow property surveys and other reports for maintenance programs within Hamilton Water Division.

Receives, assesses, and responds to general email inbox to provide customer service follow up.

Maintains office filing systems for customer service storefront section.

Receives, stocks and transfers materials and parts required by Meter Operations to ensure continuous, efficient, and effective uninterrupted supply of goods. Confirms receipt, matches shipping documents and prepares paperwork for accounts payable processing.

Labels parts and stocks items in designated locations to maintain organized stock area. Distributes materials and equipment to internal and external customers. Performs inventory counts and audits as needed. Inputs, retrieves data and prepares reports from inventory management system.

Acts as site liaison with contractors for pick-up and return of hydrant adaptors. Prepares required paperwork for billing/return of deposit for hydrant adaptor rentals.

Works in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to Occupational Health and Safety.

Perform other duties as assigned which are directly related to the major responsibilities of the job.

Qualifications

  • Previous experience in a customer service environment with demonstrated ability to receive and answer customer inquiries while maintaining filing systems and records.
  • Must be able to relate to the public with tact and diplomacy. Demonstrated superior customer service skills.
  • Excellent verbal and written communication skills with the ability to remain professional, courteous, and patient in a fast-paced environment.
  • Strong attention to detail and accuracy, good organizational and time management skills, with the ability to multitask and prioritize competing demands effectively.
  • Experience in a computerized environment. Demonstrated knowledge of computer applications in a Windows environment. Intermediate working knowledge of Microsoft Office (Word, Excel, Outlook) and scheduling software and databases).
  • Proven experience and knowledge or related working experience in inventory management, inventory processes and controls.
  • Physically capable of performing duties that includes occasional heavy lifting up to 50lbs, stooping, crouching, climbing, reaching, standing and walking. Capable of performing these duties with occasional exposure to weather, fumes and dust, and frequent exposure to noise.
