The Procurement Coordinator is responsible for supporting the end-to-end procurement process across multiple sites within the organization. This role ensures the timely and accurate creation of purchase orders, maintenance of vendor and item data in ERP, and the effective coordination between suppliers, internal departments, and the Accounts Payable team. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities in a fast-paced, regulated environment.

Key Responsibilities

  • Add and maintain vendor information in D365 to ensure data integrity and accuracy.
  • Create and update item records in D365 across all product categories and departments.
  • Generate and process purchase orders (POs) in D365 for multiple departments and locations.
  • Ensure accuracy and compliance throughout the procurement-to-pay (P2P) process.
  • Reconcile invoices against POs and delivery receipts to verify correct billing and product receipt.
  • Communicate with suppliers to resolve issues related to order accuracy, delivery schedules, and discrepancies.
  • Collaborate with the Accounts Payable team to address PO-related discrepancies and facilitate timely vendor payments.
  • Conduct procurement research and support vendor selection and evaluation processes.
  • Maintain accurate procurement data in D365 and related Excel reports.
  • Perform additional procurement and administrative tasks assigned by the Supply Chain Manager.

Qualifications & Skills

  • Diploma or bachelor’s degree in supply chain management, Business Administration, or related field is an asset.
  • 1-3 years of experience in a procurement, purchasing, or supply chain coordination role.
  • Experience using Microsoft D365 (or similar ERP system) is an asset.
  • Strong attention to detail and ability to maintain data accuracy.
  • Excellent organizational and time-management skills, with the ability to handle multiple priorities.
  • Strong communication and interpersonal skills for effective collaboration with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite, particularly Excel (level basic/intermediate).
