About the role

We are seeking a highly organized and detail-oriented Marketing Financial Coordinator to support our Digital Marketing team in managing vendor contracts, budgets, and financial operations. This contract role plays a critical part in ensuring compliance, timely payments, and accurate financial tracking across all marketing initiatives.

Your responsibilities

  • Contract Management & Compliance
    • Own the end-to-end marketing contract process, ensuring proper documentation, compliance, and approvals for all third-party agreements including NDAs, MSAs, and SOWs.
    • Ensure full compliance of all SOWs, POs, and vendor contracts.
  • Procurement & Payment Oversight
    • Act as the subject matter expert (SME) for the Purchase Order (PO) creation process.
    • Ensure 100% compliance with vendor POs, SOWs, contracts and payment procedures.
    • Reconcile vendor accounts payable monthly to ensure timely and accurate payments.
  • Coupon Program Execution
    • Manage and execute coupon programs across the entire customer journey, ensuring proper tracking, reporting, and reconciliation.
  • Budget Management & Reporting
    • Collaborate with Digital, Brand & Medical Marketing as well the Insight & Analytics leads to develop and manage budgets.
    • Develop and own the monthly budget tracking report to ensure timely update and that overall Marketing department budget utilization remains on track.
    • Monitor monthly spending, provide regular budget updates, and deliver accurate financial reports to support decision-making.
    • Lead the daily management of retainer budgets across all marketing teams, ensuring proper use and allocation tracking.

The experience we're looking for

  • Proven experience in marketing operations, finance coordination, or procurement.
  • Strong understanding of contract management, financial compliance, and vendor relations.
  • Excellent organizational, analytical, and communication skills.
  • Ability to work independently and cross-functionally in a fast-paced environment.
  • This role is not currently sponsoring visas or considering international movement at this time.

The skills for success

Experience with ERP systems and budgeting tools to track forecasts (e,g., SAP, Allocadia), Familiarity with digital marketing processes, approvals, and vendor management, Strong Excel skills and comfort with financial data analysis.
