Nature of the work
The principal and customary work of an employee in this class of employment consists in performing a variety of relatively simple administrative duties according to established instructions, methods or procedures and requiring routine decisions based on a limited number of elements.
Description of tasks
- Compile data, perform simple calculations, and generate reports.
- Fill out forms, records, purchase orders, standard letters, notices, or other similar simple documents and send them as needed.
- Receive and transfer phone calls; take and relay messages and faxes.
- Provide general information over the phone or in person.
- Greet and, if necessary, direct visitors.
- Complete reports related to phone calls and record messages for the answering machine.
- File documents, books, and records. Repair books, manage the lending of books, equipment, and audiovisual materials, and, if needed, collect late fees.
- Enter text and various data from manuscripts or other sources. Verify the accuracy of these entries or those of different lists or documents.
- May be required to receive, stamp, sort, and file mail and oversee its distribution.
- May photocopy documents as needed.
- May be required to train new office agents (Class II).
- Perform any other related tasks as needed.
Schooling
Meet one of the following profiles:
- Hold a Diploma of Vocational Studies in an appropriate specialty
- Hold a Secondary School Diploma or a diploma or attestation of studies recognized as equivalent by the competent authority.
- Have some knowledge of office automation.
- Knowledge of Microsoft Office and Google Environment
