Key Responsibilities
Project Coordination & Administration
- Support Operations Manager with portfolio/project setup, scheduling, and execution.
- Prepare and maintain project documentation, including RFIs, submittals, change orders, and permits.
- Track progress against milestones and provide updates to stakeholders.
- Coordinate communication between site, office, and client teams.
- Maintain accurate document control and version tracking.
- Develop, update, and monitor project schedules using MS Project or equivalent tools.
- Assist with resource planning, subcontractor coordination, and equipment tracking.
- Support field logistics including deliveries, mobilizations, and inspections.
- Ensure all work aligns with project timelines and budget targets.
- Support the preparation of progress billings, purchase orders, and cost reports.
- Track change orders, budget adjustments, and forecast updates.
- Maintain transparency and control over project financial documentation.
- Assist with QA/QC documentation, closeout packages, and lessons-learned reports.
- Coordinate completion of client handover materials (O&M manuals, warranty documentation).
- Ensure compliance with company and client quality standards.
- Serve as the central point of contact for project correspondence.
- Schedule and document project meetings, distribute minutes and action items.
- Support clear and timely communication between internal and external partners.
- Represent the company professionally on all client interactions and site visits.
Education
- Diploma or degree in Engineering, Construction Management, Architecture, or a related technical field.
- Additional coursework or certifications in project coordination, scheduling, or cost control considered an asset.
- 3–7 years of experience in project coordination within construction, engineering, or industrial services.
- Exposure to restoration, utilities, or building systems projects preferred.
- Experience supporting multi-disciplinary project teams and managing subcontractor deliverables.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams).
- Familiarity with MS Project, Primavera, Procore, Buildertrend, or SAP.
- Understanding of project financials, cost tracking, and change management processes.
- Strong knowledge of construction methods, codes, and safety practices.
- Organization & Multitasking: Capable of managing multiple priorities in a fast-paced environment.
- Communication: Excellent verbal and written communication with internal and client teams.
- Problem Solving: Analytical thinker with the ability to resolve project issues proactively.
- Teamwork: Collaborates effectively across disciplines and departments.
- Attention to Detail: Maintains accuracy and completeness in documentation.
- Accountability: Takes ownership of assigned tasks and follows through to completion.
- Adaptability: Flexible and responsive to changing project needs and priorities.
- Safety & Quality Focus: Demonstrates commitment to a safe and compliant work environment.
- Valid G-class driver’s license and ability to travel to project sites as required.
- Eligible to work in controlled or high-security environments (as applicable).
- Ability to obtain site access clearances (e.g., Controlled Goods, background checks).
