About the Opportunity


The Assistant plays a pivotal role in supporting various aspects of human resources such as leave management, employee relations, performance management, recruitment, compensation, and training and development. The Assistant must have strong technical skills in the areas of Office 365 particularly advanced excel skills. The Assistant actively contribute to the implementation of HRIS to support organizational growth and digital transformation, enabling province-wide employee self-service options for secure and accurate data capture. This role involves meticulous data entry, maintenance of HR analytics for decision-making, content updates on internal platforms, participation in job fairs and career events as required, and the development and communication of initiatives to support MNBC's goal of becoming an employer of choice. Additionally, they handle inquiries from staff, manage the People and Culture email inbox, maintain confidential personnel files, streamline documentation and forms, and utilize various communication channels for effective interaction.


Duties and Responsibilities


  • Provides HR administrative support in the areas of leave management, employee relations, performance management, recruitment, compensation, and training and development.
  • Contributes to HRIS implementation to support MNBC growth and supports MNBC’s Digitization strategy of becoming paperless. Improves access by employee self-serve options province-wide to ensure employee information is captured accurately and securely.
  • Must have strong technical skills to perform advanced functions in Excel, such as applying formulas and v-look ups and experience working within a SharePoint platform.
  • Performs data entry into Human Resource Management System and various platforms.
  • Supports the team with additional data entry and assists with posting job vacancies.
  • Maintains HR analytics/metrics for analysis and reporting to support MNBC business decisions.
  • Attends job fairs, career events and participates in online event planning as needed.
  • Prepares ad hoc reports, presentations, or other HR-related material as needed in conjunction with the department.
  • Responds to staff on various queries in a timely and accurate matter and refers matters of a complex nature to the Senior Manager, People and Culture.
  • Manages the People and Culture email inbox.
  • Maintains personnel files for all employees, ensuring that files include relevant and necessary documentation and are kept confidential and in line with the privacy protocol.
  • Ensures documentation and forms are updated and efficient workflows are in place. Prepares and modifies various documents/forms as required.
  • Establishes a high personal standard of service and performance by actively participating in other duties as assigned.
  • Participates in committees and project teams as required.
  • Undertakes related duties as assigned, consistent with the job grade of the position.
  • Other duties may be assigned as needed to ensure the efficient operation of MNBC.
  • Regular/ occasional attendance at meetings/ events that may require work and travel outside of normal business hours


Qualifications


  • Grade 12 and completion of courses equivalent to one (1) year certificate in Human Resource Management or related field from a recognized, post-secondary institution. Diploma is preferred. Minimum of one (1) years of related experience in a human resources function/ role/ department.
  • Working toward CPHR designation is preferred.
  • A combination of relevant experience, education, and training may be considered.
  • Demonstrated strong technical skills in Office 365, particularly advanced excel skills and Adobe Acrobat.
  • Knowledge of HR Practices and relative regulations and laws.
  • Demonstrated working knowledge of a Human Resources/Payroll Information system (HRIS) such as UKG is an asset.
  • Experience providing a high level of customer service with the ability to create a positive and meaningful customer experience.
  • Experienced utilizing team-building skills in a collaborative and “people first” environment while building strong partnerships with client groups.
  • Excellent analytical skills, technical skills in general, and impeccable attention to detail.
  • Strong aptitude for problem-solving and sound judgment.
  • Excellent organizational skills, including prioritizing workload to meet deadlines and managing multiple concurrent tasks.
  • Must be process-driven and solution-oriented with a positive attitude.
  • Demonstrated ability to work independently, take the initiative and overcome obstacles.
  • Proven ability to recognize and maintain the highest levels of confidentiality.
  • Knowledge and/or awareness of the historical and contemporary contributions made by Métis people in B.C.
  • Possession of, or the ability to obtain, a Class 5 driver’s licence may be required.
  • The position may require the completion of a Criminal Record Check and Vulnerable Sector Check.
