Position Summary
This position reports to the Manager of Fleet Maintenance and provides direct assistance to the Fleet Coordinators/Supervisors in the scheduling of service work, creating and processing of work orders, generating Purchase Orders, monitoring open work orders and other administrative duties for a wide range of vehicle and equipment repairs. This position is a first point of contact and displays outstanding customer service for a variety of stakeholders including customers, external suppliers/contractors and fellow employees. Key Duties & Responsibilities
Schedules repairs and preventative maintenance for vehicles and equipment in all maintenance locations. Administers the work order management system using the Maximus maintenance system. Follows up with suppliers on back-ordered parts and with clients on outstanding repairs. Reviews, monitors and codes invoices for outsourced repairs. Providing accurate cost estimates of potential work repairs including the length of time that it would take to complete. Accesses and updates vehicle repair information in a computerized system and generates reports as required. Assists in obtaining schematics, wiring diagrams and repair information using the internet. Ensures that a high standard of customer service and satisfaction is provided. Occasionally picks up and delivers parts, equipment and supplies. Performs various record maintenance administration duties including materials and supplies utiliized, cost estimates, labour required, maintenance logs, etc. Duties often perfomed in a computerized format Performs related duties as required. Key Qualifications
Completion of grade twelve (12) supplemented with two directly related courses in Business Administration as well as courses in the Service Advisor field. A minimum of (3) years directly related experience with an emphasis on customer service, communication skills and record management in the vehicle mobile equipment repair service industry .
A proven ability to effectively work with computer software such as email, Microsoft Word & Excel. A typing speed of at least 40 words per minute is preferred; those candidates granted an interview will be tested at that time. Basic mechanical understanding is a definite asset. Working/Other Conditions
Must possess a valid driver's license ( 1A classification preferred ) and a First Aid Certificate.
Hours of work are subject to operational requirements.
Additional Requirements: Successful candidates may be required to provide a satisfactory criminal record check per the City of Regina's Criminal Record Check Policy. Proof of education is required. Additional assessments may be conducted to evaluate competencies, skills, and knowledge.
