JOB SUMMARY:
Purpose of the role:
The Hospice Operations Lead is a key member of the leadership team at Stedman Community Hospice, responsible for the seamless delivery of support in patient focused non-clinical areas, including volunteer engagement. Under the direction of the Hospice Director, the role provides oversight of scheduling, payroll processes, environmental services, and monitoring of facilities maintenance in collaboration with the Lifecare team.
This individual is a resilient and detail-oriented professional, who excels in managing multiple priorities, meeting deadlines, and fostering positive relationships with staff, management, volunteers, and the broader community. As a key player, they will ensure resources, supplies, and services are effectively managed to uphold high standards of operational excellence.
The Hospice Operations Lead actively contributes to leadership discussions and decision-making, including participating in on-call rotations and Campus of Care initiatives to ensure continuity of care across the organization. This individual collaborates with the interdisciplinary team to address operational challenges, identify opportunities for improvement, and uphold the mission and vision of the Hospice. Additionally, this role maintains a consistent, collaborative presence within daily operations which includes engaging directly with patients and families on a regular basis to ensure timely access to appropriate resources.
KEY ACCOUNTABILITIES & SUCCESS CRITERIA:
People Leadership and Human Resources Management
- Liaises with central scheduling to ensure daily staffing levels are sufficient as well as forecasting staffing needs.
- Utilizes staff/volunteer scheduling software and communicates changes in staff/volunteer schedules as necessary.
- Leads performance management for direct reports.
- Identifies concerns related to volunteer performance including setting clear expectations, providing regular feedback, conducting evaluations, and supporting professional development to ensure alignment with organizational goals.
- Supports volunteer engagement and maximizes delivery of unpaid services.
- Demonstrates a collaborative approach to supporting patients and families while regularly interacting with front line staff and guiding volunteers to provide services in a supportive manner.
- Tracks volunteer qualifications and ensures appropriate training.
Resource & Records Coordination
- Assists with processing of staff timecards and ensure volunteer hours are reported accurately.
- Maintains service records and expectations for nonmedical equipment.
- Plans meal rotation and delegates cooking assignments where appropriate.
- Maintains records regarding food safety as determined by Public Health and coaches/trains volunteers on hygiene safety expectations.
- Communicates issues to onsite maintenance personnel and tracks results.
Environmental Audit and Compliance Management
- Oversees the daily operations of environmental services, including monitoring housekeeping duties, ensuring adherence to infection control protocols and cleaning standards, and managing supplies to maintain a safe and clean environment.
- Conducts periodic audits to assess compliance with infection control and safety guidelines and implements corrective action as needed.
Non-Medical Supply Management
- Monitors non-medical supply volumes and ensures appropriate inventory levels.
- Determines needs for meals, maintains grocery list to support meal plans and plans for grocery pick up.
- Liaise with supportive care regarding snacks/meals for groups and events.
QUALIFICATIONS & SKILLS
- Post-secondary education related to allied health, medical administration, volunteer engagement, or another related field. College Certificate/Diploma or Equivalent (2-3 years duration).
- CVA – Certified Volunteer Administrator is an asset.
- Certificate in Volunteer Management.
- Proactive and strategic thinker with a passion for building meaningful connections.
- Great time management skills, and the ability to prioritize tasks and work independently.
- High level of reasoning and discretion with the ability to maintain confidentiality.
- Professional and responsive with a focus on customer service.
- Willingness to learn and gain knowledge in infection control standards and healthcare environment protocols.
- Above average interpersonal skills and flexibility in managing relationships.
- While performing the duties of this job, the employee is regularly required to stand, walk, reach with hands and arms, stoop, kneel or crouch. Additionally, the employee must regularly lift and /or move up to twenty five (25) pounds.
- Strong computer skills including Microsoft applications (including Word, Excel, and PowerPoint).
