Your Opportunity: We are looking for a skilled and dedicated individual to join the Primary Care Alberta (PCA) provincial central referral intake program. Reporting to the Unit Manager, the Administrative Support IV position plays a vital role in ensuring the efficient processing of patient referrals. You will work closely with referring providers, specialists, and Medical Office Assistants (MOAs) to manage referrals from the moment they are received in the central access office until they are forwarded to the appropriate specialist for consultation. As an Administrative Support IV, you will collaborate with a team of Registered Nurses (RNs) and other administrative staff to clerically triage and process referrals, handle data entry, and assist in supporting the patient's journey from referral to specialist consultation. Your responsibilities will include receiving consults, entering data accurately, and ensuring the timely distribution of referrals to specialists for a consultation appointment. Additionally, you will play a key role in maintaining standard workflows that promote best practices, improve processing times, and ensure timely referral distribution. Communication with all providers will be key to ensure efficient flow of referrals. You will also have the opportunity to contribute to process and quality improvement initiatives at the program, department, and zone levels. Required Qualifications: Some post-secondary education Additional Required Qualifications: A minimum of Grade 12 education, supplemented by a certificate or diploma in Office Administration from a recognized program, or equivalent experience, is required. Knowledge of Medical Terminology is essential. Recent experience (within the last 5 years) in a medical or surgical setting, pre-admission clinic, referral management, or related field, with a focus on surgical specialties. The ideal candidate will demonstrate strong attention to detail and accuracy with the ability to type at a speed of 50 words per minute. Proficiency in Microsoft Office. The role also demands outstanding interpersonal abilities, enabling the candidate to communicate clearly, concisely, and accurately with physicians, healthcare professionals and patients is crucial. Proven ability to work effectively in a high-stress environment, handling multiple challenges, frequent interruptions, changing workloads, and shifting priorities, all while meeting established deadlines. Demonstrated ability to work independently and collaboratively within a multidisciplinary team. Strong time management and organizational skills, with the ability to prioritize tasks in a fast-paced, high-volume environment. Ability to manage confidential information with discretion and in compliance with privacy legislation. Physical demands of the job include sitting for extended periods and using repetitive motions Preferred Qualifications: Experience with Alberta Netcare, Connect Care, Rightfax and Genesys is an asset. Recent experience in a central intake setting, and/or referral processing. Experience in a Preadmission Clinic, Surgery, or Surgical Clinic is an asset. Comfort using multiple software platforms simultaneously. Training in emotional intelligence or cultural competence for diverse patient interactions is an asset.
