DUTIES AND RESPONSIBILITIES:
Pinewood Centre is part of the Mental Health and Pinewood Centre Program, providing a range of services to clients and family members with substance use concerns. Under the direction of the Client Care Manager, this position will support the clinical functions of RWMS, PASS, and RAAM at 300 Centre Street South, Oshawa and other sites as required. The secretary facilitates public relations and a high level of communications between program staff. Among the core duties and responsibilities are: registration, booking appointments, providing data entry, retrieving and compiling data, managing client flow through entrance, responding to walk-in and telephone inquiries, evaluating supplies items and ordering in a timely manner, creating and maintaining staff schedules in keeping with collective agreements, coordinating staffing shortages, document preparation, filing, managing petty cash, recording of minutes of meetings, assisting with payroll processes, submitting work orders and coordinating equipment repairs, maintaining departmental manuals and records, providing support to other sites as required, engaging in projects as designated by the Client Care Manager and other duties as assigned.

The terms and conditions of employment are in accordance with the Collective Agreement between the Hospital and C.U.P.E Local 6364.
Successful External applicants must provide a satisfactory Criminal Investigation Reference for the vulnerable sector, dated within the past six (6) months.

QUALIFICATIONS:
- Medical Office Administration Diploma or an equivalent combination of education and experience;
- Proven knowledge of medical terminology (tested);
- Previous experience transcribing doctor's orders;
- Proven knowledge of Microsoft Word, Outlook, and Excel (tested - Intermediate level);
- Proven keyboarding skills of 45 wpm (tested);
- Significant related office experience, preferably in a health care setting, or equivalent combination of education and experience;
- Understanding or willingness to learn about addiction specific issues and services;
- Proven excellent organizational and prioritization skills with an ability to meet deadlines;
- Accurate data entry skills;
- Knowledge of Meditech, Epic, payroll/personnel, and scheduling;
- Knowledge of Catalyst data entry program;
- Supporting professional staff providing on-site services;
- Adherence to program, hospital, and legislated privacy and confidentiality standards;
- Demonstrates diplomacy, a positive non-judgmental, collaborative attitude with clients, visitors and colleagues;
- Ability to work in an environment with frequent interruptions;
- Demonstrated excellent interpersonal and (written and verbal) communication skills;
- Adherence to all Lakeridge Health and Mental Health and Pinewood Centre policies;
- Knowledge of OHIP and out of province insurance benefits;
- Commitment to professional development through supervision and continued training;
