The department of Oncology’s mission is to be a recognized leader in integrated cancer care, education and research. We are closely linked to the London Regional Cancer Program/London Health Sciences Centre and share a vision of integrated cancer care, research and education that aligns with the Schulich mission of outstanding education with a research intensive environment.
Responsibilities
The Program Assistant is responsible for a wide range of advanced administrative support functions within the Department of Oncology while acting as a key resources to internal and external stakeholders. The role works closely with the Postgraduate Leaders to enhance the resident and fellowship program by ensuring the smooth day-to-day operations of the postgraduate programs which includes the coordination of the Canadian Resident Matching Service (CaRMs) interviews, Royal College of Physicians & Surgeons of Canada (RCPSC) internal and external accreditation reviews, Resident Research Day, Examinations, Rotation/Leave Schedule, Practice Orals and Academic Half-day events. The Program Assistant will also be responsible for coordinating the Canada-wide Refresher Course every three years.
Qualifications
Education:
- 3 year community college diploma in Business Management/Administration
Experience:
- 3 years’ experience providing administrative support and working with educational programs, preferably in an academic setting
- Experience working with medical terminology and setting up data tables and reports
- Experience working in a university/hospital setting preferred
Knowledge, Skills & Abilities:
- Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner
- Positive, outgoing attitude with an unwavering commitment to customer service and teamwork
- Superior verbal and written communication skills and confidence interacting with internal and external stakeholders at all levels of an organization
- Ability to work in a manner that is compliant with confidentiality requirements
- Strong judgement, analytical and problem solving skills, especially regarding confidential/sensitive matters
- Able to build and maintain lasting relationships within department, with other departments and key stakeholders
- Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
- Ability to work well under pressure and independently (with minimal supervision) with a considerable degree of initiative and collaboratively in a team environment when needed
- Ability to handle multiple conflicting priorities/projects in a fast-paced environment with frequent interruptions
- Ability to process information with high levels of accuracy
- Exceptional organizational skills and the ability to manage activities both for self and others effectively
- Advanced computer skills in Microsoft Office, with various administrative database systems and software (such as PeopleSoft, SAS database, One45, Acuity, PubMed, GroupWise), with content management systems (such as Cascade) and Adobe
