Job Description :

Champlain College – Lennoxville is seeking the services of an ADMINISTRATION TECHNICIAN, to work on a temporary, full-time, position in the Administrative Services Department, with the possibility of renewal.



FUNCTIONS
Reporting to the Coordinator of Administrative Services, the principal and customary work of the incumbent will consist of performing various technical tasks of an administrative nature in the management of financial resources.

MAIN RESPONSIBILITIES
1. Verifies all bank deposits, prepares deposits for miscellaneous revenues collected by the Business Office, and forwards all to college administration office.
2. Reconciles all revenue accounts including but not limited to residence, bookstore, and auxiliary services, finds discrepancies, and requests journal entries.
3. Prepares purchase orders for annual service/maintenance contracts; receive monthly invoices from suppliers; investigate discrepancies; and forwards authorized vouchers to college administration accounting department for payment or process returns.
4. Invoices individuals (staff, students, users, etc.) for chargeable goods or services and external partners for the services provided.
5. Processes all cheque requisitions and purchase orders according to budget allocations and campus policies.
6. Distributes costs to users for all expenses, i.e., photocopying, office supplies, etc.
7. Reimburses petty cash claims, issues reports and requests to replenish the fund, and reconciles all weekly.
8. Monitors expenses and advises his/her superior of cases of overspending or discrepancies.
9. Provides support and assistance to both internal and external clients in areas of accounting, budgets and purchasing.
10. Performs any other related tasks, as required.

Requirements :

Education
Must have a diploma of college studies (DEC), in relevant field such as accounting, office system technology, management, or an attestation of studies, which is recognized as equivalent by the competent authority.

Other
Must have excellent interpersonal and organizational skills with a proven track record of discretion, tactfulness, and respect of confidentiality. Excellent written and spoken English and French – language skills are essential.

Ability to multi-task, anticipate needs, problem-solve and adapt to quickly evolving situations while having impeccable attention to detail and able to meet strict deadlines.

Proficiency with Windows environment and the MS Office suite (especially Word, Excel and Outlook).

Candidates will be required to pass a Word and Excel tests.

Work Schedule : Monday to Friday from 8:00 a.m. to 4:00 p.m. or 8:30 a.m. to 4:30 p.m Salary Scale : $27.07 to $36.14 Anticipated Start Date : 2025-12-15 Start of Posting Period : 2025-11-11 End of Posting Period : 2025-11-25 23:59
