Job Summary

Responsible for assisting management and staff with program delivery through providing clerical assistance and by responding to, resolving and tracking complaints and inquiries received from the public regarding transportation and road operations services and programs.

Duties & Responsibilities

  • Respond, resolve and track inquiries and complaints from the public regarding the Region’s road operations/transportation services.
  • Liaise with Access Halton by responding to forwarded calls / inquiries and providing updates on calls and the status of road and transportation services via corporate CRS software (Siebel).
  • Prepare monthly reports documenting incoming and outstanding inquiries.
  • Coordinate and attend Divisional meetings, working groups and workshops.
  • Prepare agendas and minutes for distribution in an accurate and timely manner.
  • Update and maintain filing system, staff training, after hours standby and invoice database.
  • Generate small purchase orders and processes invoices for payment via SAP.
  • Maintain and monitor all purchase orders for Road Operations contracts and consultants.
  • Organize and schedule appointments, Book travel arrangements
  • Provide back up to the Road Operations Administrative Technician.
  • Perform other duties as required.

Skills & Qualifications

Essential

  • Post-secondary education in Business.
  • Computer proficiency, particularly with standard office business solutions software.
  • Critical problem solving, analytical and organizational skills.
  • Work well in a team environment.

Preferred

  • Experience within municipal transportation services.
  • Experience with MS Office, Siebel, Visio and SAP.

  • Travel is required. The incumbent is required to supply their own transportation occasionally.

  • The incumbent will be required to drive a Regional vehicle and will be required to provide a copy of their driver’s license and a driver’s abstract, by their first day of employment.
