Your Role as Operations Administrator


Administrative Coordination

  • Manage daily office operations, correspondence, and recordkeeping.
  • Coordinate meetings, agendas, and minute-taking.
  • Oversee office supplies, maintenance, and service provider contracts.
  • Support team events and social initiatives.

Payroll & HR Support

  • Oversee timesheets, payroll reporting, and discrepancy resolution.
  • Coordinate recruitment, onboarding, and employee file management.
  • Arrange pre-employment testing and site orientations.

Procurement & Financial Administration

  • Prepare purchase orders, process invoices, and maintain procurement records.
  • Generate weekly reports and assist with cost tracking and budget support.
  • Help prepare proposals and client submissions.

Health, Safety, Environment & Quality (HSE&Q)

  • Maintain safety and training records for all site personnel.
  • Assist with safety meetings, incident reporting, and vessel ship loading documentation.
  • Support compliance with regulatory permits and approvals.

What You’ll Bring

  • 2–3 year post-secondary diploma or equivalent experience.
  • 10+ years of relevant administrative experience in an operations or construction environment.
  • Strong organizational, communication, and multitasking skills.
  • Experience with JD Edwards or similar ERP systems (an asset).
  • Commitment to safety, accuracy, and teamwork.
