Under the direction of the Chief of Police, provide administrative support to the Chief of Police and Niagara Parks Police Service including but not limited to the administration of confidential files, Lost and Found Property, and those functions listed below. Perform duties in compliance with relevant legislation, including the Freedom of Information and Protection of Privacy Act, Occupational Health and Safety Act, and relevant directives issued by The Niagara Parks Commission and the Niagara Parks Police Service.

Niagara Parks offers and annual salary range of $57,264.70 to $68,380.36 for this position as well as comprehensive benefits and a defined benefit pension plan.

Qualifications

  • Successful completion of a post-secondary program relating to Office Administration or equivalent knowledge and experience.
  • Knowledgeable concerning Niagara Parks Commission administrative and operational facilities and services.
  • Proficient with relevant software applications including word processing, spreadsheets, database and publishing software.
  • Five years of experience providing administrative support.
  • Excellent communication and interpersonal skills with internal and external stakeholders.
  • Excellent organizational and analytical skills with a good working knowledge of file management in accordance with legislation and best practices.
  • Typing skills to Niagara Parks Commission standard.

Key Activities

  • Provides administrative support to the Chief of Police; coordinates schedules and appointments, prepares arrangements as needed for meetings as well as travel where required.
  • Coordinates and administers the Lost & Found Program for the Police Service ensuring accurate recordings of all items and final disposition as per Niagara Parks Police Service directives.
  • Responsible for managing and controlling the petty cash fund including processing all reimbursements, receipts/claims; follows up, verifies and determines method of payment on purchases.
  • Prepares, coordinates and contributes to the preparation and submission of correspondence, reports, summary briefs, presentations, etc., to the Board of Commissioners, management staff and other organizations as required.
  • Maintains General and Routine Orders, or other directives issued by an authorized member of the police service management team.
  • Responsible for establishment, organization and maintenance of administrative files.
  • Reconciles Procurement credit card statements with authorized personnel for monthly charges, track and prepare monthly payments.
  • Prepare paperwork for Accounts Payable for processing i.e., requisitions, purchase orders, copies of receipts etc.
  • Prepare agendas and make arrangements for committee, department and other meetings. Minute taking for department meetings and various committees when required by the Chief of Police.
  • Administration of payroll documentation (i.e. timecards, accounting for shift premiums, overtime, court time, holiday pay, special rates i.e. Paid Duty) and verifies any errors with payroll department.
  • Monitors and tends the reception desk where required. Issues building keys and entry codes to authorized personnel.
  • Retains leave requests for members of the Police Service.
  • Assists with budget preparation with appropriate software.
  • Monitor and submit training records, safety talks, and other requirements as determined by corporate training through the NPC Human Resources Office as they relate to police staff.
  • Perform all duties in a confidential manner and in keeping with the Freedom of Information and Protection of Privacy Act and other applicable legislation.
  • Maintains adequate inventory of stationery and other supplies.
  • Where appointed as a Commissioner of Oaths, administer oaths, declarations and affirmations as required in relation to police staff performing the lawful execution of their duties.
  • Liaise with the Niagara Parks Commission Information and Technology department in relation to the police telephone system as required
  • Administration of issued parking tickets; maintains database records; liaise with Provincial Offences Court and the public concerning parking tickets where directed.
