Your Opportunity Reporting to the Associate Registrar, Systems, the Curriculum Coordinator at Okanagan College plays a key role in supporting the management and enhancement of the institution’s curriculum and student information systems. The Coordinator assists in optimizing the use of the Kuali curriculum and calendar management system, ensuring data accuracy and security.

The role includes supporting the translation and maintenance of curriculum data into and within the Banner student information system. This includes assisting in the input, update, and management of information related to programs, courses, prerequisites, and graduation requirements. By ensuring curriculum data in Banner is accurate and up-to-date, the Coordinator supports student admissions, program planning, registration processes, course scheduling, and graduation audits. Additionally, the Coordinator aids in system upgrades and integrations, working in alignment with the Associate Registrar and other stakeholders to ensure smooth transitions.

This role is instrumental in supporting system users across the institution and in fostering continuous improvement, primarily as it relates to the functional and systems aspects of curriculum development and maintenance.

Overall, the Curriculum Coordinator’s role is pivotal in ensuring the smooth functioning, accuracy, and optimization of the institution’s curriculum and student information systems, ultimately supporting the academic success and progression of students at Okanagan College
Functions and Duties 1. Curriculum and Calendar Management System

  • Maintains and updates Kuali curriculum forms and calendar sections and pages.
  • Provides support for Chairs and various stakeholders on submission requirements: helps review proposals for completeness and offers suggestions for revisions prior to submission.
  • Ensures additions, changes, and removals of programs and courses requiring Education Council and Board of Governors approval are processed accurately with complete data and in line with the standards that have been established
. • Works alongside Chairs and others to resolve quality control issues and offers assistance in troubleshooting difficult curriculum system issues.
  • Fields questions from Chairs and various stakeholders regarding curriculum standards, policies, procedures, forms, or issues, ensuring adherence to Okanagan College policies and procedures
. • Engages in dialogue with Chairs and various stakeholders concerning curriculum standards, policies, procedures, and issues, to ensure compliance with Okanagan College policies.

2. Student Information System

  • Familiarizes with and supports the application of standards, codes, regulations, policies, and procedures applicable to the College’s main student information system (Banner), translating approved program and course details from Kuali, and maintaining data integrity across curriculum records. This effort directly supports student admission, program planning, registration, and graduation audits.
  • Assists in managing the CAPP module for degree audits and program planning, liaising with Advisors, Transfer Credit & Graduation Coordinators, and others to navigate end -user challenges and implementation nuances.
  • Aids in addressing course anomalies and coding issues that affect student scheduling and registration, ensuring smooth operation and compliance with academic standards.
  • Communicates with Transfer Credit & Graduation Coordinators regarding program and course updates requiring BCCAT actioning.
  • Provides essential support in making or suggesting corrections to improve course or program structures, planning, and scheduling processes, contributing to the resolution of any issues under the guidance of the Associate Registrar.
  • Engages with and offers support to Chairs and various stakeholders on Banner’s functionalities and requirements to ensure that curriculum changes are implementable in Banner, align with data standards and adhere to College policies.

3. Systems Administration

• Supports the Kuali curriculum and calendar management system by managing user accounts and upholding security standards. • Coordinates and tests Kuali modules during new or upgraded versions and collaborate with Kuali vendors on system usage and issue resolution and ensures Kuali and the Banner catalog are in sync and refers major issues to the Associate Registrar. • Assists with the testing and implementation of updated versions of Banner and CAPP to prevent major errors during upgrades.
  • Assists with testing the integration of different curriculum systems, such as Destiny One, to Banner.

.4. Process Improvement & Training

  • Contributes to the creation and dissemination of group and individual Kuali training for Chairs and others, which may include Deans, ensuring training materials are up-to-date and accessible. Under direction from the Associate Registrar, plays a part in developing and maintaining new online training content to enhance college-wide learning.
  • Contributes to cross -functional/departmental teams on process improvement related to Registrar’s Office systems including but not limited to Banner, Kuali, and CAPP.
  • Participates in Registrar’s Office business practice improvement initiatives to ensure they can be operationalized within Banner and that they will not cause issues with internal and/or external reporting of Banner data.
  • Recommends to the Associate Registrar, revisions to online content based on policy/procedure changes and/or feedback from Chairs and other stakeholders.
  • Assists in the documentation and communication of continuous improvement efforts, supporting the development and updates of reference and procedure manuals under the guidance of senior staff. This involves aiding in the collection and organization of feedback for procedural adjustments and ensuring training materials are up-to-date and comprehensive

. 5. Education Council Support

  • Attends Education Council and sub committee meetings as a resource as required.
  • Ensures appropriate documents are included in the Education Council meeting agenda by working with the Education Council Chair and the recording secretary to Education Council.

6. Other

  • Supports efforts to stay informed about industry best practices and functional-technical changes through participating in self-directed learning, vendor training, and conference attendance, enhancing personal knowledge and contributing to the team’s expertise.
  • Performs other duties as assigned.

Education and Experience Graduation from a four-year degree program in Business Administration, Technology Management or related field or equivalent education/experience is required. A minimum of 4 years’ experience working with a student information system within a higher education environment is required
