About This Role

Location type: Hybrid (3 days at the office in Downtown Toronto on a fixed schedule - Monday, Tuesday and Thursday)

We're looking for a Business Operations Associate to support operations across Finance & Admin, Compliance, Office Operations & Executive Support. You'll work directly with the Chief of Staff & Head of Operations to execute critical workflows, maintain systems, and help keep the company running smoothly day to day.

This is a high-impact, execution-focused role ideal for someone who is organized, systems-minded, and detail-oriented.

Core Expectations (Always On — 100%)

  • Proactively engage with the team to ensure they have what they need to do their best work
  • Resolve operational blockers quickly and escalate when needed
  • Maintain a service-oriented mindset while protecting operational quality and accuracy
  • Keep processes running smoothly across systems, tools, and workflows

This is woven into every part of the role.

Responsibilities

1 - Finance, Billing & Vendor Operations

  • Upload invoices to Hubdoc
  • Prepare vendor payments in Plooto
  • Follow up on overdue invoices
  • Maintain subscription inventory and renewals calendar
  • Update finance trackers (AP/AR, payments, revenue ops spreadsheets)
  • Support employee virtual credit card stipend program (policy checks, receipt compliance, monthly reporting)

2 - Compliance & Security Operations

  • Collect evidence for SOC 2 controls
  • Maintain Drata tasks and reminders
  • Assist with access reviews and credential audits
  • Update approved policies and compliance documentation

3 - General Operations, Office & Executive Support

  • Maintain and update Notion workspace organization
  • Prepare SOPs, internal documentation, and process updates
  • Support coordination for company events and swag
  • Assist with internal communications and operational logistics
  • Help with travel coordination, scheduling blocks, and administrative follow-ups
  • Office Management:
    • Stock snacks and office supplies
    • Maintain workplace inventory
    • Manage deliveries and workplace vendors
    • Ensure the Toronto office remains organized, accessible, and well-equipped
What Success Looks Like

  • Clean, accurate data across CRM, finance, and operational systems
  • Vendor invoices processed correctly and on time
  • Fully compliant employee stipend program
  • SOC 2 evidence and tasks consistently up to date
  • Clear team-wide reduction of operational blockers
  • Noticeable increase in bandwidth for the Chief of Staff & Head of Operations

What You Bring to the Team

  • 2+ years of experience in operations or administrative roles
  • EXCELLENT organization and prioritization
  • Detail-oriented with strong follow-through
  • Comfortable with SaaS tools (Google Workspace, Notion, CRM)
  • AI-first Operator; you explore, understand, use, abuse, and share it
  • Systems-minded and consistent with process execution

Bonus if You

  • Have hands-on experience with Salesforce, Stripe, Zapier, Chartmogul and Intercom
  • Have supported SOC 2 or other compliance frameworks
  • Have worked in SaaS, startups, or multi-system operational environments
  • Are comfortable organizing documentation in Notion
  • Understands prompt engineering and is open to developing and working with AI agents
  • Have experience with AP/AR, billing workflows, or vendor management
  • Enjoy solving messy operational problems and improving processes
  • Have office or facilities management experience
