We are seeking a highly organized and detail-oriented Fabrication Shop Administrator to join our fabrication team in Vaughan. As the fabrication shop administrator, you will be supporting both the site and shop office activities. This role is critical for keeping shop projects organized, maintaining accurate documentation, and ensuring smooth day-to-day operations between production, logistics, and management.

We are seeking a highly organized and detail-oriented Fabrication Shop Administrator to join our fabrication team in Vaughan. As the fabrication shop administrator, you will be supporting both the site and shop office activities. This role is critical for keeping shop projects organized, maintaining accurate documentation, and ensuring smooth day-to-day operations between production, logistics, and management.
Duties and Responsibilities:
- Delivery Scheduling -Coordinate inbound/outbound deliveries, communicate timelines with drivers, vendors, and the production team.
- Documentation Control - Scan, file, and maintain work order packages, fabrication drawings, material certificates, and QA/QC documents according to company procedures.
- Material Tracking - Track materials from receipt to installation. Update inventory, follow material movement, and notify team of shortages.
- MRP Dashboard/Database Administration - Update and maintain the MRP system with order status, material consumption, and production progress. Ensure data accuracy across the database.
- Order Tracking - Monitor all orders through the full process—procurement, fabrication, inspection, and delivery. Communicate status updates to internal teams.
- General Administrative Support - Support the fabrication manager with reports, daily logs, shop paperwork, and other administrative tasks as needed.
- Perform additional related duties as required under the direction of the hiring manager.
- Minimum 2 years of administrative experience in a professional, fast-paced, and deadline-driven environment
- Proven ability to work independently with minimal supervision.
- Driven individual with the ability to be adaptable and pivot when required
- Strong organizational and prioritization skills, with the ability to manage multiple tasks and projects simultaneously.
- Excellent verbal, written, and active listening skills.
- Strong problem-solving, research, and decision-making abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and MS Teams; ability to quickly learn company-specific software.
- Effective interpersonal skills with the ability to build and maintain positive working relationships internally and externally.
- Flexible and adaptable, with the ability to adjust to changing priorities.
