- Prepare and distribute monthly Aging Reports to Villages, identifying overdue accounts and monitoring payment activity.
- Produce and maintain tracking spreadsheets from Aging Reports, following up weekly with Villages and PGT on updates and resolutions.
- Collaborate with General Managers (GMs) and Administrative Coordinators (ACs) to review delinquent accounts and seek approval before initiating the formal collection process. Monitor resident accounts to ensure timely notifications, including issuing Collection Letters 1, 2, and 3, and making follow-up calls or emails to responsible parties.
- Respond to inquiries from Villages, residents, and families promptly and with empathy, providing information and support as needed.
- Investigate reasons for non-payment and work closely with the Billing Specialist to resolve discrepancies or billing concerns.
- Maintain detailed and accurate records of all communications, actions, and account statuses in accordance with organizational standards.
- Liaise regularly with the Public Guardian and Trustee (PGT) to obtain missing information, such as confirmation letters or payment details.
- Rate Reduction Information System Application (RRISA) specialist who will support all Villages on RRISA applications and will also be responsible for annual RRISA training. Lead or participate in review meetings with collection partners to evaluate account progress and identify improvement opportunities.
- Provide backup support for the Accounts Receivable Support Specialist as needed.
- Diploma or certificate in Accounting, Finance, or Business Administration preferred.
- Minimum 3–5 years’ experience in collections, accounts receivable, or financial reconciliation.
- Experience working in a healthcare, senior living, or multi-site organization considered an asset.
- Strong proficiency with Microsoft Excel and financial reporting tools.
- Familiarity with Ministry of Long-Term Care reporting requirements and processes preferred.
