Opportunity

MacEwan University is seeking an Administrative Assistant, Digital Platforms and Delivery for a 24-month, non-recurring term opportunity with the Information Technology Services department.

Reporting to the Director, the Administrative Assistant provides advanced administrative, operational, and coordination support to the Director and management team overseeing IT Operations. You will manage high-volume scheduling and communication needs, coordinate HR and procurement documentation, support financial reconciliation and reporting, and ensure smooth operations across diverse technical teams. You will also exercise a high degree of independence, judgment, and professionalism, handle confidential information and contribute to an effective, service-oriented culture within ITS.

Key responsibilities include:

  • Coordinating administrative aspects of HR processes (recruitment requisitions, interviews, SmartHR forms, onboarding/offboarding, training tracking);
  • Liaising with HR, Payroll, and Finance to ensure accurate and timely transactions;
  • Preparing purchase requisitions, expense claims, and P-Card reconciliations;
  • Tracking budgets, assisting with forecasting, and supporting financial reporting for operational projects;
  • Obtaining vendor quotes, verifying invoices, and ensuring compliance with institutional procurement standards;
  • Coordinating departmental assets, inventory, and service tickets with ITS Finance and Facilities;
  • Managing supply orders, travel logistics, vehicle bookings, and office/facility requests;
  • Coordinating logistics for staff meetings, recognition events, and engagement activities; and
  • Supporting internal communication channels and assisting with process documentation and continuous improvement initiatives.

SKILLS

You will have:

  • Excellent time management, organizational and prioritization skills;
  • The ability to take initiative, work independently and manage multiple projects and/or priorities with minimal supervision;
  • Strong proofreading and editing skills;
  • The ability to create professional reports and correspondence;
  • Effective problem-solving skills with keen attention to detail;
  • The ability to be flexible and easily adapt to changing priorities;
  • Strong verbal, written and interpersonal communication skills with a professional and friendly approach;
  • The ability to work with confidential information and to exercise judgement and discretion;
  • Customer-service orientation with a professional demeanor and commitment to equity, diversity, and inclusion; and
  • Proficiency in Microsoft Office suite (including Word, Excel, Outlook, PowerPoint, Teams), Adobe Professional, SharePoint.

QUALIFICATIONS

  • A minimum of a diploma in Office or Business Administration or related field.
  • A minimum 3 years of progressively responsible administrative experience supporting multiple leaders in a complex or technical environment, preferably within post-secondary or public-sector settings.
  • An equivalent combination of education and experience may be considered.
