The Camp Services Coordinator - Volunteer & Logistics plays a key role in supporting Administrative Coordinator – Staff & Camp Operations and Camp Directors across multiple camp locations in the Greater Toronto Area. This role ensures accurate and timely documentation in YMCA databases, including HR records, volunteer information, and program materials. The Camp Services Coordinator - Volunteer & Logistics manages weekly bus attendance, acting as the main point of contact with bus companies and marshals to ensure smooth transportation for campers. Responsibilities also include assisting with accident and incident reporting and supporting volunteer recruitment and development throughout the summer. This position contributes to the efficient operation of camp activities while providing essential administrative support to the camp leadership team.

In this role, you will:

  • Coordinate and manage all Human Resources data entry, including hiring packages, police record checks, and volunteer recruitment, ensuring accuracy and timely submission
  • Sort and verify weekly bus routes in Excel for each assigned camp location, confirming all camper information is accurate and complete
  • Act as bus coordinator for morning or evening daily routes, including correspondence with bus companies and bus marshals across the GTA
  • Liaise with YMCA Program Support Departments to ensure all accident and incident reports completed by camp staff are accurate and submitted promptly, notifying Risk and/or HR of major incidents
  • Assist with interviewing, onboarding, and hour tracking for volunteers
  • Provide support to program operations through warehouse and office organization as time permits
  • Attend all staff trainings and meetings, arriving on time, actively participating, and contributing to the development of all camp staff
  • Ensure Health and Safety procedures are followed and maintained, and contribute to the cleaning, safety, and maintenance of camp sites and office
  • Act as a positive role model for the campers and fellow staff through embodying the YMCA values, policies and procedures, Day Camp conditions of employment/guidelines and the Ontario Camping Association standards
  • Perform other duties as assigned

You bring:

  • Post-secondary education (or currently enrolled in) business, administration, human resources, or related program, or equivalent experience
  • Minimum 1 year experience working in an administrative role
  • Experience with YMCA Day Camps considered an asset
  • Proficiency in Microsoft Word, Excel, and Outlook, as well as familiarity with ActiveNet and UKG considered an asset
  • Demonstrated ability to work well both independently and in a team environment
  • Well-developed interpersonal and relationship-building skills with the ability to establish rapport
  • Excellent verbal and written communication skills
