Position Information Position Title Operations Coordinator, Indigenous Initiatives
Position Summary The Operations Coordinator, Indigenous Initiatives ensures that business operations work effectively and efficiently to deliver excellent service to staff, students, faculty, and internal and external partners. The Operations Coordinator works with the Dean of Indigenous Initiatives and the Indigenous Student Success Coordinator to handle the planning, scheduling, budgeting, reporting, and communication related to the Indigenous Initiatives department
Position Responsibilities Operations Coordination:
- Contributes to the annual operational planning process
- Where appropriate, consult program and service areas in the development of proposals and business cases
- Facilitates the integration and alignment of plans and planning activities.
- Runs administrative and financial reports that provide direction and guidance for planning and decision-making purposes
- Collects and analyzes financial, service, and other data, and makes recommendations for operational decision making
- Acts as a resource and responds appropriately, on behalf of the Dean of Indigenous Initiatives
- Prepares, gathers, and relays confidential information and material on a regular basis
- Understands and represents the positions and priorities of the Dean
- Leads the coordination of special events as required, which includes booking facilities, catering, scheduling participants, etc.
- Maintains confidentiality in a professional manner with the highest of integrity
- Determines, in collaboration with the Dean and Indigenous Student Success Coordinator, how communications will be distributed to various groups (i.e.: staff, faculty)
- Liaises with students, staff, faculty, elders, community members and government officials for the purpose of information sharing and exchange, complaint management and guidance as appropriate
Programming Coordination:
- Collaborates with the Dean and Indigenous Student Success Coordinator on timetabling and planning various events for students, staff, faculty, and community members.
- Sets up and monitors registration for events
- Coordinates multiple schedules of facilitators and participants involved in the programs planned
Budget Monitoring and Coordination:
- Monitors operating and personnel budgets
- Coordinates the implementation of approved budgets including personnel, capital, operations, special projects & renovations, in collaboration with the Dean, Coordinator, and service areas
- Ensures reconciliation of VISA statements and prepares expense claims in accordance with polytechnic policies
- Coordinates and monitors budget transactions within scope of authority and resolves issues as they arise
- Assembles information and data to analyze current budgets for year-end projections
- Analyzes budget reports to ensure accuracy and to forecast future expenditures and/or savings and to identify and recommend potential operational changes to improve efficiency and effectiveness of operations
- Solves budgetary and financial issues within scope of authority and communicates results to budget holder
- Completes other budgetary tasks, such as tracking events, reporting on status of positions, etc.
Administrative Support:
- Prepares correspondence, documents, and communications on behalf of the Dean
- Provides support for meetings by providing all aspects of meeting logistic support
- Ensures the extensive and constantly changing schedule of appointments and meetings for the Dean are kept up to date, ensuring priority is given to individuals and groups as required and proactively resolving conflicts as they occur
- Ensures records are kept in accordance with Red Deer Polytechnic policies and standard practices on records management and FOIPP
- Collaborates with the Vice President Academic, Student Experience office on recruitment
- Completes, as per the polytechnic policy and guidelines, travel arrangements including flights, hotel accommodations and car rentals
- Maintains the image of the institution by ensuring that all correspondence prepared for distribution adheres to a consistent and professional standard
Project Coordination:
- Coordinates projects and strategic initiatives as required, by providing project management support and expertise
- Prepares and distributes related written documentation including, but not limited to, project plans, scheduling updates and revisions, proposals, business cases/plans, agenda packages, minutes, etc.
- Ensures project milestones are being met according to timelines
- Identifies issues and solutions while providing advice on project progression
- Acts as liaison with committees and task groups collaborating with faculty and staff to ensure project success
- Proactively and independently conducts necessary research, liaising with internal and external contacts to gather necessary information in anticipation of each meeting
- Ensures all project action items are followed up by project members
- Presents project completion summaries to project sponsors and department heads
- Manages project planning documents, including developments, deliverables, timing, critical paths, agenda packages, meeting minutes, etc.
- Organizes meeting logistics such as scheduling, room booking, catering, etc.
Required Qualifications
- Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in Business Administration or related field representing four years of study or equivalent.
- Over Three years up to 5 Years experience necessary
- Ability to champion and lead change; a proactive, collaborative, results-oriented style
- Ability to work in a dynamic, ever-changing, fast-paced environment with multiple demands, competing priorities and numerous deadlines
- Ability to use and interpret complex data to accurately advise and inform decision makers
- Strong analytical skills, ability to think outside the box, and apply creative solutions to issues presented
- Excellent interpersonal, relationship building, team building, and conflict resolution skills
- Ability to exercise good judgement and discretion, and maintain confidentiality
- Effective organizational, time management, and planning skills
- Excellent oral, written, and technical skills
- Proven ability to determine priorities, be self-directed, and work with minimal supervision
- Knowledge and awareness of the operation of a post-secondary institution is preferred
- Previous relevant experience working with an executive office team (senior administrators) ensuring confidentiality, integrity, diplomacy, professionalism, and tact at all times
- High level of expertise in all areas of modern office practice and procedures
Preferred Qualifications
- Event planning experience
- Project management experience is preferred
Salary or Hourly? Hourly
Salary 34.59/hour
Benefits and Compensation Information An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits
