We are seeking a Coordinator, Student & Clerk Programs to join our Professional Talent team in our Halifax Office!

The Coordinator of Student and Clerk Programs is responsible for overseeing all aspects of attraction, recruitment, onboarding, training, and professional development for students and clerks, ensuring they have a rewarding and productive experience with the firm. Serving as the primary point of contact for current and prospective summer and articling students, the Coordinator provides guidance and support throughout their journey. In addition, this role collaborates with the Talent and Retention Committee and the Director of Professional Talent to advance initiatives related to associate attraction, retention, and development.

This role directly reports to the DPT, with an indirect reporting line to the Professional Personnel Partner and the Talent Committee Chair.

SUMMARY OF RESPONSIBILITIES
  • Recruiting, onboarding, training/rotations, and performance management of summer and articling students. Some travel and working after hours are required.
  • Maintains strong relationships with law school career resource offices and other law firm recruiting professionals.
  • Maintains recruiting database, including postings, applications, and correspondence.
  • Organizes all aspects of law school firm tours and other special events held at the office. Participates in and manages all aspects of on-campus interviews and in-firm interviews, including registration, pre-screening resumes and selecting candidates, scheduling interviews with students and arranging for firm interviewers, and handling all communication and correspondence to the schools, lawyers and students, including offer letters.
  • Develops and maintains strong relationships with law school career services and student organizations at feeder schools, coordinating Firm participation and sponsorship of outreach activities throughout the calendar year.
  • Arranges for law school social functions, and law school outreach to ensure Cox & Palmer is attracting the best students.
  • Coordinates training, conferences and engagement events for students, clerks and associates.
  • Supports the DPT with tracking and maintaining the Professional Development budget.
  • Prepares and participates in Talent Committee meetings.
  • Works with the DPT to manage the Cox & Palmer mentoring program for students and associates.
  • Makes recommendations regarding student hire back into associate roles.
  • Supports the DPT in the onboarding and integration of new lawyers, creating the onboarding schedule and coordinating key sessions with partners and management team members.
  • Supports employment branding initiatives such as Firm social media, new hire welcome packages, student event swag and branded merchandise.
  • Sending out clerk, student and associate availability emails, posting schedules, and maintaining appropriate records.
  • Complies/maintains/prepares reporting on KPI data for review with the operations leader. Also, maintains and updates other department lists and databases.
  • Document filing and reporting in accordance with the Nova Scotia Barristers’ Society requirements.
  • Coordinates professional development for the articling clerks and lawyers, organizing both internal and external training programs and tracking administrative items such as payment and registration as required.
  • Various other duties as assigned.
SKILLS & QUALIFICATIONS
  • Post-secondary education in business, human resources, or related education is required. A certificate or designation in human resources, recruitment or a related field is considered an asset.
  • Experience working in a professional services environment, preferably law, would be an asset.
  • Experience leading full cycle recruitment, onboarding or training would be considered an asset.
  • Proficient with MS Office – Word, Excel, PowerPoint, Outlook.
  • Highly organized with the ability to keep on top of multiple deadlines. A strong attention to detail
  • Exceptional communication skills, both written and verbal, including comfort with public speaking.
  • The ability to work both collaboratively and independently.
  • Self-starter, initiative and strong work ethic.
  • Professionalism and discretion when handling highly confidential and sensitive information.
  • Strong attention to detail.
  • Ability to adapt easily to change and highly motivated to handle a fast-paced environment.
  • Ability to develop lasting and productive relationships, using tact and diplomacy, with both internal and external stakeholders.
  • Ability to do some pre-planned travel and flexible hours lead some after-hours recruitment and engagement events (15%).
