Perma-Pipe in Camrose, Alberta Canada is hiring an HR & Administrative Coordinator !

We’re looking for an HR & Administrative Coordinator to be a part of our growing Canadian (AB & ON) team. The HR & Administrative Coordinator plays a critical role in supporting daily HR, payroll, safety, administrative, and environmental compliance activities for the facility. This position ensures accurate payroll processing, maintains employee records, supports onboarding processes, manages safety and PPE inventory, assists with light engineering administrative tasks, and provides support to facilities and reception operations.

This is a highly visible role requiring exceptional attention to detail, strong organizational skills, and the ability to effectively support employees, supervisors, and management across multiple departments.

The role is situated in Camrose, AB and is an in-office role, not remote.

ESSENTIAL JOB FUNCTIONS

Payroll & HR Administration


  • Process daily and weekly payroll for all hourly employees.
  • Enter payroll changes in Visual and Paycom for plant hourly staff.
  • Research, correct, and submit payroll errors or adjustments to Payroll (Blanche).
  • Track and enter all Metal Trades vacation requests ensuring compliance with contract rules; obtain approvals for exceptions.
  • Track and submit all bonuses and company reimbursements for payment.
  • Administer new hire orientation and coordinate schedules based on staffing needs.
  • Ensure all new hires complete required paperwork; create employee files and enter data into Visual and Paycom.
  • Maintain disciplinary records for Metal Trades personnel and copy union steward as required; evaluate records upon termination.
  • Process Workers’ Compensation claims and ensure accurate reporting.
  • Distribute FMLA forms, monitor deadlines, and maintain records.
  • Manage partial and total unemployment claims using Case Builder.
  • Assist with creation and maintenance of an HR Assistant Instruction Manual (payroll, onboarding, terminations, badges, etc.).
  • Answer employee questions regarding payroll, benefits, leave, policies, and general HR matters.


Safety & PPE Management


  • Maintain adequate stock of PPE (cut-resistant gloves, hard hats, safety glasses, earplugs, cooling towels, etc.) and distribute to employees.
  • Track and administer Safety Bingo results; distribute winnings.
  • Administer Jaeger eye tests to Journeymen initially and annually.
  • Support coordination of onsite flu shot clinics.


Onboarding, Staffing & Temporary Labor Support


  • Place all orders for temporary employees and coordinate with staffing vendors as needed.
  • Complete all onboarding activities including orientation scheduling, PPE issuance, video training, and documentation.
  • Maintain and scan terminated employee files for digital storage.


Employee Relations & Engagement


  • Organize and support employee lunches, cookouts, appreciation events, and engagement activities.
  • Answer employee inquiries promptly and professionally.


Engineering Administrative Support


  • Create job folders for all new projects, including copying drawings, cover sheets, requisitions, planning documents, shipping bills, and miscellaneous job-specific drawings.
  • Distribute job packets to supervisors in a timely and organized manner.


Facilities & Environmental Compliance Support


  • Schedule hazardous waste pickups ensuring Small Quantity Generator compliance; verify proper placarding, loading, and manifest completion.
  • Assist with environmental reporting including data collection, drafting, coordination with Environmental Manager (Jason Haskin), and accuracy checks before submission.
  • Distribute and track weekly Hazardous Waste Inspections; ensure corrective actions are completed.
  • Gather and calculate daily/weekly/monthly usage data for Title V Air Permit reporting; assist consultants with annual reporting.
  • Support yearly state inspections for Title V data; provide documentation and ensure zero findings.


Reception & Front Desk Support


  • Answer and direct incoming phone calls.
  • Greet visitors, obtain sign-in information, and show safety videos when required.
  • Provide visitors with appropriate PPE before entering the plant.
  • Distribute incoming mail to departments.


QUALIFICATIONS & REQUIREMENTS

Education


  • High school diploma required.


Experience


  • 2–3 years of Human Resources or administrative experience required.
  • Strong customer service orientation with a professional, approachable demeanor.
  • Exceptional attention to detail with the ability to identify and correct errors.
  • Strong problem analysis and problem-resolution skills.
  • Excellent interpersonal, verbal, and written communication skills.
  • Proficiency in computer systems and HR/payroll software (e.g., Visual, Paycom).
  • Strong time-management capabilities with the ability to manage multiple tasks in a fast-paced environment.
  • Ability to work independently and exercise good judgment.
  • Ability to organize and write procedures clearly and logically.


Physical Demands


  • Ability to move between office, production, and warehouse environments.
  • Occasional lifting of up to 25 lbs. (PPE boxes, file boxes, etc.).
  • Ability to stand or walk for short periods during training or inspections.
