The Quote Specialist plays a key role in developing pricing strategies, compiling technical documentation, and supporting contractors with detailed project binders, shop drawings, and maintenance manuals.

The Quote Specialist is responsible for preparing accurate and competitive quotations for projects based on specifications, drawings, and product schedules. This role requires collaboration with sales teams, contractors, vendors, and manufacturers to gather all necessary information and deliver precise, profitable bids. The Quote Specialist plays a key role in developing pricing strategies, compiling technical documentation, and supporting contractors with detailed project binders, shop drawings, and maintenance manuals.
Duties And Responsibilities
- Review specification sheets, drawings, and schedules received from contractors, the Construction Association, and internal sales staff to ensure completeness and accuracy.
- Determine project closing dates, identify key contractors, and coordinate follow-ups with manufacturers and sales teams to obtain required information.
- Develop and maintain strong relationships with vendors, requesting and evaluating quotes to determine optimal pricing strategies for each project.
- Utilize supplier pricing and manufacturer data to develop competitive bids that maximize profitability while maintaining customer satisfaction.
- Collaborate closely with Sales Representatives, Project Managers, and Branch Managers to provide accurate pricing, timely updates, and responsive communication.
- Maintain detailed project tracking logs, including bid dates, contractors, pricing updates, and project status.
- Prepare comprehensive project binders, including shop drawings, amendments, and maintenance manuals for contractors.
- Ensure all quotations and project documentation meet company quality standards and support operational efficiency.
- Provide technical support and clarification to internal staff and customers as needed throughout the quotation and project lifecycle.
- Performs additional duties as assigned, with flexibility to adapt to evolving business needs.
- Minimum3+ YearsCommercial HVAC and/or Plumbing Industry Experience
- MinimumAssociates Degree/Diploma or Equivalent Work ExperienceBusiness, Engineering, or a related field
- Proven experience with project quotations and understanding of the construction process.
- Strong technical knowledge of HVAC and/or Plumbing systems, components, and applications.
- Excellent communication and interpersonal skills to effectively collaborate with internal and external stakeholders.
- Strong analytical and organizational skills with attention to detail and accuracy.
- Demonstrated ability to prioritize tasks, meet deadlines, and perform under pressure in a fast-paced environment.
- Sound judgment, problem-solving abilities, and commitment to continuous improvement.
- Sitting at a desk or using a computer for prolonged periods
- Manual dexterity for typing, handling small objects
